About The Position

Appleseed Community Mental Health Center is seeking a flexible, organized, and customer-service focused individual to join our Support Staff team in a part-time/PRN Office Support Specialist role. This position is ideal for someone who enjoys variety in their workday and is interested in learning multiple front office functions within a behavioral health setting. This position is guaranteed scheduled hours every Tuesday and Thursday from 8:00am–11:00am covering the front desk receptionist role. Additional hours are available based on agency needs, including assisting with medical records, intake support, scheduling, clerical projects, and coverage for staff call-offs or vacations. While weekly hours may vary, this position will not exceed 29 hours per week. The Office Support Specialist is cross-trained in multiple front office departments and plays an important role in ensuring smooth daily operations and excellent customer service to clients, staff, and community members.

Requirements

  • High school diploma required
  • Ability to multitask and adapt to changing priorities
  • Comfortable learning multiple job functions and agency systems
  • Basic computer knowledge including Microsoft Word and Excel
  • Ability to work independently and as part of a team
  • Ability to maintain confidentiality and professionalism at all times

Nice To Haves

  • Previous clerical, receptionist, customer service, or medical office experience preferred
  • Strong communication and organizational skills

Responsibilities

  • Greet clients and visitors in a courteous and professional manner
  • Answer and route incoming phone calls
  • Schedule, cancel, and reschedule appointments
  • Collect and receipt payments accurately
  • Verify and update client demographic, insurance, and financial information
  • Assist with appointment reminder calls
  • Support medical records functions including scanning, filing, chart preparation, and records requests
  • Assist intake and front office staff with administrative tasks and client registration processes
  • Prepare and organize documents for clinical and medical staff
  • Provide coverage for front desk operations as needed
  • Maintain professionalism and confidentiality in accordance with HIPAA regulations
  • Assist with special projects and other duties as assigned
