About The Position

The Office Support Associate performs public relations functions and delivers excellent customer service to the School of Merchandising and Hospitality Management Director, Staff, Chairs, Faculty, and external constituencies, including internal and external guests. This role requires flexibility in multitasking and the ability to switch between tasks quickly, as interruptions to scheduled work may occur. The position involves organizing work based on priorities established by the School Director.

Requirements

  • High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
  • Advanced customer service skills.
  • Exceptional interpersonal skills.
  • Knowledge of Microsoft Office.
  • Advanced attention to detail.
  • Ability to work under pressure, adjust to constant changes, handle multiple tasks, and coordinate the work of others.
  • Ability to keep complex records, assemble and organize data of complex nature, and prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Ability to work independently.
  • Ability to develop and maintain good, positive working relationships.
  • Ability to learn and retain knowledge of policies, practices, procedures and terminology of assigned function.

Responsibilities

  • Maintain professional appearance and conduct.
  • Uphold appropriate work habits and behaviors.
  • Maintain appropriate customer service.
  • Ensure efficient and timely completion of tasks.
  • Prepare conference rooms for scheduled meetings and ensure coffee service, especially with guests.
  • Schedule conference rooms on electronic calendars.
  • Develop and implement a plan for maintaining and destroying state files in the work area.
  • Assist faculty with course and lab related purchases charged to course fees, including supplies, subscriptions, and course-specific software.
  • Coordinate textbook orders with the campus bookstore and request desk copies for faculty.
  • Assist with asset management.
  • Maintain organization of the Director's suite and stock the office supply closet.
  • Assist the Director's office with posting and processing of ePars for hourly student assistants (UNT CoLab AND IT).
  • Prepare and publish the faculty schedule with office hours and phone list for each semester.
  • Monitor main office copy machine maintenance and coordinate repairs.
  • Prepare purchase orders and approve invoices for equipment and supplies, and coordinate receipt of shipping.
  • Assist faculty and staff with the coordination of special events.
  • May assist with the collection of data and preparation of materials for meetings and conferences.
  • Provide assistance to the completion of reports.
