About The Position

This position provides essential support for the implementation of programs, focusing on budget-related tasks, processing payments and contracts, and managing administrative functions. The role involves direct interaction with vendors, faculty, students, and staff, requiring strong organizational and communication skills. The analyst will also assist with data management, report writing, and utilizing various office communication and management platforms.

Requirements

  • Equivalent to graduation from a four-year college or university.
  • One year of technical or administrative experience.
  • Ability to work with people from a wide variety of backgrounds.
  • Must be comfortable calling vendors and placing orders and coordinating deliveries.
  • Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

Nice To Haves

  • A graduate degree in a related field may be substituted for one year of the required experience.
  • Additional qualifying experience may be substituted for the required education on a year-for-year basis.

Responsibilities

  • Support budget-related tasks for program implementation, including working with budget tracking sheets.
  • Process payments for speakers, vendors, and faculty fellows.
  • Process contracts via Cal Poly systems to add vendors to our system.
  • Perform scheduling of individual and group meetings and arrange appropriate details (room reservation, catering, materials, etc.).
  • Assist with customer service by answering phones, sitting at the front desk, and assisting with general inquiries from students, faculty, and staff.
  • Call vendors, place orders, and coordinate deliveries.
  • Assist with data cleanup and management related to attendance at events.
  • Assist with writing and development of templates for annual reports.
  • Support administrative functions of the office using preferred communication and management platforms such as Outlook, SharePoint, Microsoft Teams, Excel, etc.
  • Perform other light clerical work and related duties as assigned.
