About The Position

Amentum is seeking a dedicated and detail-oriented Office Supervisor to oversee day-to-day operations and facilities management for multiple commercial office buildings across New York City and the surrounding boroughs, including a high-profile corporate headquarters. The Office Supervisor will lead a team of six employees and play a key role in ensuring seamless building operations, exceptional workplace experience, and consistent service delivery to meet client expectations. Typical office hours are 8:30am-5:00pm, Monday through Friday.

Requirements

  • Bachelor's degree in Facilities Management, Business Administration, or a related field.
  • A minimum of 5 years of experience in office/facilities management, with at least 3 years in a supervisory role.
  • Working knowledge of facilities management, building systems, and maintenance operations.
  • Proficiency in using Computerized Maintenance Management Systems (CMMS) for managing work orders and reporting.
  • Experience with Microsoft Office programs such as Excel, Word, PowerPoint, and Outlook.
  • Experience in managing subcontractors/service providers.
  • Familiarity with NYC building regulations, compliance standards, and OSHA safety requirements.
  • Strong leadership, communication, and organizational skills with a commitment to excellent customer service.
  • Ability to multitask in a fast-paced environment and oversee multiple locations effectively.
  • Strong problem-solving skills and the ability to adapt to changing needs and priorities.
  • Ability to travel across all assigned locations in NYC and surrounding boroughs (Manhattan, Queens, and Brooklyn).

Nice To Haves

  • Maximo experience is a plus.
  • Familiarity with Integrated Facilities Management (IFM) practices.
  • Prior experience in corporate workplace environments or commercial office buildings.
  • Basic knowledge of carpentry, electrical troubleshooting, and general building systems maintenance.

Responsibilities

  • Provide leadership, guidance, and mentorship to Facility Coordinators and General Maintenance Technicians/Porters.
  • Manage staffing schedules, assign tasks, and conduct regular team meetings to ensure alignment to goals and priorities.
  • Conduct performance evaluations and provide ongoing training/development to foster a high-performing team.
  • Ensure adherence to safety guidelines, company procedures, and client policies across all properties.
  • Oversee facilities operations at multiple locations to ensure smooth day-to-day functionality including interaction with landlords.
  • Manage and coordinate with service providers for maintenance, repairs, and other services required across the properties.
  • Provide quality assurance by inspecting work completed by facilities team members and service providers.
  • Monitor and manage work order requests in the Computerized Maintenance Management System (CMMS), ensuring timely updates and accurate record-keeping.
  • Coordinate after-hours janitorial requests, service provider PMs, and repair activities across the portfolio as needed.
  • Deliver “white glove” service and maintain a professional, service-oriented presence across all sites.
  • Promptly address client requests to maintain a high level of satisfaction and occupant experience.
  • Act as a liaison between client, building management, and the facilities team.
  • Ensure incident reporting, service logs, and maintenance documentation are accurate and up-to-date.
  • Review contractor service reports and invoices, ensuring completion of work and accuracy in cost reporting.
  • Create routine reports and metrics to track operational performance and identify areas for improvement.
  • Assist in budget tracking and procurement processes for maintenance and supplies, including reviewing and approving invoices.
  • Provide coverage and hands-on assistance during high-demand periods, delivering excellence in event setups, deliveries, etc.
  • Support team efforts in facility inspections, maintenance checks, and preventive upkeep to ensure the optimal condition of all spaces.
  • Ensure all work complies with NYC building codes, OSHA regulations, and client-established standards.
  • Enforce safety protocols and identify/address unsafe site conditions.
  • Organize safety training, certifications, and inspections for team members.
