About The Position

The Office Coordinator works as a member of the Administrative Services team and is responsible for supporting the day-to-day administrative operations of the site, while supporting a Trauma Informed Care environment. With the high prevalence of trauma among individuals receiving mental health services, it is required that the Office Coordinator understand the effects of trauma on health, coping, and other aspects of lives of those we serve.

Requirements

  • High school diploma/GED or equivalent
  • Five years of work experience in an office setting, insurance or healthcare experience: or demonstrated ability to fulfill the requirements of the position.
  • Type 50 wpm
  • Proficiency in computer hardware and software at a level to effectively perform the job functions, including entering and retrieving data
  • Familiarity with basic office equipment, i.e., fax machines, printers, copiers
  • Advanced skills with PC systems, including MS Windows, MS Word and MS Excel preferred
  • Sound independent judgement and collaboration skills
  • Ability to commute to various Cascadia sites and community locations as needed.
  • CPR Certification (training provided post-hire).

Responsibilities

  • Provide supportive environment to clinical and administrative staff and programs.
  • Maintain philosophy, mission, and best practices of Cascadia and associated clinical program.
  • Communicate effectively and provide support to staff, clients and the public by telephone, e-mail and in person.
  • Manage multiple tasks in an office environment; organize and prioritize workload.
  • Provide support for site Vendors.
  • Collaborate with leadership members to maintain and update all staff schedules in the Electronic Health Records system.
  • Provide administrative support for Electronic Health Records functions used by all staff at the site.
  • Assist with tracking client and patient paperwork
  • Provide the team with assistance as needed for knowledge of Cascadia policy and procedures.
  • Track and maintain office supplies needed for the site.
  • May be required to run errands to maintain site supplies.
  • Adhere to mandatory abuse reporting laws and HIPAA requirements.
  • Demonstrate responsibility for the safety of clients, staff and property; possess familiarity with fire regulations and evacuation procedures.
  • Complete on-site OSHA review quarterly in collaboration with Safety department.
  • Coordinate with Information Technology to maintain office equipment.
  • Analyze problems and develop creative solutions.
  • Complete annual employee training requirements on a timely basis as indicated in the licensing requirements for the facility as well as agency requirements.
  • Attend seminars, training and other educational opportunities to develop professional skills and abilities.
  • Participate in all scheduled staff meetings, supervision sessions, and other departmental and agency meetings.
  • Perform other duties as assigned.
  • Provide back-up for the Office Specialist positions as needed.
  • Assist with authorization and enrollment coverage
