About The Position

The Office Specialist at Mercer Community Health Center is responsible for a variety of administrative and patient-facing duties to ensure the smooth operation of the front office. This role involves direct communication with staff and patients, managing appointments, handling medical information, processing payments, and maintaining a professional office environment. The ideal candidate will possess excellent communication and organizational skills, a strong attention to detail, and the ability to handle sensitive situations with professionalism.

Requirements

  • High school graduate.
  • Ability to accurately type 40 WPM.
  • Efficient with data entry equipment.
  • Ability to apply appropriate rules of grammar, spelling, and punctuation.
  • Knowledge of computers is a necessity.
  • Ability to prioritize activities, organize work, and problem-solve.
  • Above average to excellent verbal and written communication skills.
  • Ability to communicate with the public sector by telephone and in person.
  • Ability to deal with anxious and angry people in a calm and professional manner.
  • Ability to communicate with Administrative Staff, Managers, Attorneys, Physicians, and all hospital staff with due respect and tact at all times.
  • General knowledge of insurance coverage including Medicaid, Blue Shield, and Commercial Insurances.

Nice To Haves

  • Additional medical training in Medical Terminology preferred.

Responsibilities

  • Communicate with all staff members regarding patient status.
  • Greet patients in a friendly manner and assist at check-in/check-out.
  • Schedule appointments and document in the EMR system.
  • Schedule referrals for patients as appropriate.
  • Obtain authorizations as needed.
  • Maintain front office workspace and waiting areas, ensuring cleanliness.
  • Maintain medical information, including filing and scanning.
  • Verify insurance information and check eligibility through the EMR system.
  • Enter patient demographics, collect co-payments, self-payment amounts, and past due balances.
  • Document patient payment reasons.
  • Scan or copy patient identification and insurance information.
  • Balance daily cash, send deposits to the bank, and maintain petty cash.
  • Receive and document telephone calls accurately within three rings, referring to the appropriate source, triaging calls, or scheduling appointments.
  • Respond courteously and promptly to telephone calls and messages from patients, insurance companies, and staff.
  • Balance cash daily to encounters and complete deposits.
  • Pick up and distribute mail.
  • Prepare patient charts, ensuring all required forms are present.
  • Copy and send record requests in a timely manner.
  • Order office supplies if applicable.
  • Call, message providers, and/or send prescriptions as directed by a provider.
  • Use EMR systems such as Meditech, Medisoft, and Medisoft Clinical.
  • Follow the appropriate chain of command for reporting issues.
  • Answer Physician Referral Line calls promptly and provide correct information.
  • Complete any necessary monthly reports timely to the manager.
  • Assist with patient satisfaction surveys.
  • Keep abreast of current issues, memos, notices, and other communications.
  • Offer assistance to other staff when able.
  • Project a positive image of the medical practice.
  • Perform other duties as assigned.
