About The Position

This position provides comprehensive administrative support to the Bureau of Resource Management by performing complex and varied office tasks. The position serves as a primary point of contact for staff and the public, requiring excellent interpersonal and communication skills. Successful performance in this role requires strong organizational and time-management skills, a high degree of attention to detail and accuracy, and the ability to work independently while exercising sound judgment. Work is performed with a high degree of independence and supports both office-level and Division wide administrative functions.

Requirements

  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters.
  • All positions in this classification assume the qualifications of: Office Assistant I , Office Assistant II , Office Associate I and Office Associate II.

Responsibilities

  • Draft, review, and process contracts, delivery orders, invoices, and procurement documentation in accordance with State policies.
  • Coordinate staff travel arrangements, including lodging and airfare, and review expense vouchers for accuracy and compliance.
  • Process and track wildlife-related permits (e.g., possession, exhibition, and importation permits) in accordance with applicable regulations.
  • Provide front-line administrative support to staff and the public, including responding to inquiries and maintaining calendars, records, and filing systems.
  • Manage procurement and office operations, including use of the procurement card, purchasing supplies and equipment, maintaining inventory, and supporting meetings and office functions.
  • Entering and maintaining information in databases and spreadsheets.
  • Providing additional administrative support as needed.
