About The Position

Davis Behavioral Health (DBH) is seeking a part-time Office Specialist - Front Desk to join its Clinical Support team for the Annex outpatient clinic located on the Layton/Kaysville border. Davis Behavioral Health (DBH) is committed to providing exemplary customer service to its clients and employees. As a member of the Clinical Support team, the Office Specialist – Front Desk positions perform essential tasks related to making clients feel welcome and valued when they check in for appointments. Office Specialists are the first point of contact for most of DBH clients when coming for treatment and creating the critical first impression. The DBH Layton campus programs have the tremendous opportunity to serve severely mentally ill adult clients and assist them in their personal recovery journeys. The clinical support staff at DBH provide the first impression for its clients and play an important role in helping clients who may be struggling with their mental health, which is why providing excellent customer service in a prompt manner is critical. In addition to the essential job functions outlined above, the following responsibilities are assigned to your specific position. Confirm appointments for DBH Medical Director/Layton campus outpatient psychiatrist. Manage and document activities related to the Layton A Behavior standard operating procedure (SOP), including loitering, disruptive behavior, pet policy, and no smoking policy.

Requirements

  • High school diploma, or equivalent.
  • Must complete First Aid and CPR certification within 30 days of hire.
  • Complete all required training that is assigned to the Office Specialist – Front Desk (Layton A) position by defined deadlines.
  • Minimum of two (2) years of exemplar professional customer service or medical office experience.
  • Must be at least 18 years old.
  • All employees at DBH must successfully pass a pre-employment criminal background check as well as a pre-employment drug screening.
  • Strong verbal communication skills.
  • Demonstrated professional customer service experience
  • Basic cash handling skills are required to accurately accept payments and provide change.
  • Ability to demonstrate compassion, courtesy and respect to all clients and their families.
  • Exceptional interpersonal skills with the ability to establish immediate rapport with clients.
  • Ability to provide exceptional customer service to DBH clients and employees is mandatory.
  • Ability to remain calm and professional in a fast-paced environment and during potential crisis situations with clients.
  • Proficiently utilize required systems and/or equipment related to performing essential functions of the job.
  • Ability to work independently and effectively.
  • Ability to develop and maintain effective working relationships with colleagues and clients.
  • Ability to communicate effectively orally and in writing.
  • Ability to maintain client confidentiality.

Nice To Haves

  • Previous work experience in a behavioral health clinic or agency.
  • Spanish speaking is a bonus.

Responsibilities

  • Gather client and insurance information efficiently and accurately.
  • Request, collect, and process co-payments and other payments from clients at the time of service, including cash payments.
  • Convey all necessary information related to the client's appointment.
  • Work within DBH's electronic medical record system and have a working knowledge of HIPAA and other privacy laws.
  • Answer telephones, screen calls, take messages, and provide information to the appropriate source, when necessary.
  • Monitor the work area, including the clinic lobby, to ensure that it remains safe, secure, professional, and well-maintained.
  • Be knowledgeable about the crisis system and know when and how to activate it.
  • Perform basic office operations, including signing for and coordinating pickup of delivered packages, communicating with other DBH employees about appointments and appointments, and other tasks related to daily business functions.
  • Other duties and responsibilities and needed and assigned.
