About The Position

Salt Lake County is seeking a highly enthusiastic Office Specialist to join the Environmental Health Division. This role provides essential customer service and office support, acting as the initial point of contact for the public both in person and over the phone. The position supports regulatory activities by processing applications and payments for plan reviews, permits, and certifications. It also assists Environmental Health Scientists with drafting warning letters and providing program information to customers. The ideal candidate will possess strong customer service skills and the ability to manage challenging interactions.

Requirements

  • One (1) year of closely related experience directly related to these duties.
  • Must pass a required background check through fingerprinting.
  • Must enroll in the continuous RAP Back (Record of Arrest and Prosecution Back) program.

Responsibilities

  • Answers phone calls and greets visitors, relaying calls and messages.
  • Performs customer service functions, providing information on department/division services.
  • Maintains office coverage during business hours.
  • Assists with scheduling meetings, including preparation, correspondence, material distribution, client registration, and appointment reminders.
  • Records meeting minutes.
  • Processes and issues monetary vouchers, certificates, and permits.
  • Records transactions, issues receipts, and reconciles revenues.
  • Provides general office support to the Division.
  • Establishes and maintains agency filing systems, including purging and archiving documents.
  • Receives and date stamps incoming deliveries and documents.
  • Provides detailed information to the public regarding Division procedures.
  • Accepts Division-specific documents, assists customers with data gathering, and reviews late appeal criteria.
  • Analyzes and maintains program reports, logs, and lists.
  • Types and proofreads documents.
  • Supports office functions using computers and software.
