About The Position

The Office Services Coordinator is responsible for supporting the daily administrative and operational functions of the office. This role ensures the workplace runs efficiently by managing office supplies, coordinating vendors, supporting staff, handling mail and deliveries, maintaining office organization, and assisting with general administrative tasks. The ideal candidate is organized, service-oriented, detail-focused, and able to manage multiple priorities in a fast-paced environment.

Requirements

  • Possess a valid driver’s license in the state of residence with a good DMV record.
  • Knowledge of management principles and practices.
  • Excellent verbal and written communication skills.
  • Organizational and coordinating skills.
  • Time management skills, initiative, self-motivated.
  • Technical capacity.

Responsibilities

  • Manage daily office operations and maintain a professional, organized work environment
  • Order, stock, and track office supplies, kitchen supplies, and equipment
  • Coordinate mail distribution, shipping, courier services, and package handling
  • Serve as the primary contact for office vendors, maintenance providers, and service contractors
  • Support onboarding activities for new employees, including workspace setup and office orientation
  • Maintain office equipment such as printers, copiers, and postage machines; coordinate repairs as needed
  • Assist with records management, filing, scanning, and document organization
  • Support company events, employee meetings, employee birthdays, and office activities
  • Ensure compliance with office safety and security procedures. Ensure that the office complies with safety regulations, including managing fire drills, emergency evacuation plans, and other safety protocols
  • Provide administrative support to leadership and departments as needed
  • Answer phones, greet visitors, and provide exceptional customer service
  • Perform special projects as required by the Executive Customer Service Manager
  • Deposit checks and apply payment in system
  • Support monthly billing process
  • Serve as a backup to the postage reconciliation process
  • Backup for Customer Service Mailroom Clerk as needed
