About The Position

Davis Wright Tremaine LLP is seeking an Office Services Coordinator for their Bellevue office. This is a temporary, seven-month position with the possibility of becoming full-time. The role is essential and requires five days in the office. The coordinator will handle various office support functions, including processing and delivering mail and packages (USPS, interoffice, vendor/courier), performing messenger duties, and assisting attorneys, legal staff, and firm-wide administrative teams.

Requirements

  • 2+ years related work experience in office support, customer service, and copy or mailroom environment.
  • Proficient in using computer and standard office applications, including Microsoft Office products, fax machines, copiers, scanners, and phones.
  • Excellent interpersonal skills, dependable team player, well-organized, self-starter, strong attention to detail, good judgment, and decision-making skills.
  • Able to work effectively in a team-oriented, service environment.
  • Able to learn, prioritize, and manage multiple tasks and projects simultaneously under deadline pressures with minimal supervision.
  • Able to identify and respond to customer/client issues/problems in a timely manner and seek feedback/follow-up.
  • Able to communicate clearly, effectively, and professionally with lawyers, clients, staff, vendors, and other business contacts, both verbally and in writing.
  • Able to dress appropriately for physical work while maintaining a professional demeanor and neat appearance.
  • Able to lift 40 lbs., be on feet most of the work day, and use various services department equipment (hand truck, flatbed cart).
  • GED/High School Diploma required.
  • Able to read and write English proficiently.
  • Valid driver's license required, including proof of insurance to operate a company vehicle.
  • Able to work extended hours or periodically change hours if needed.
  • May be required to change work shift temporarily to accommodate special coverage needs.

Responsibilities

  • Sort and distribute incoming and interoffice mail, including express and courier materials, and scan/route mail electronically.
  • Process outbound mail and vendor/courier packages, track shipments, and facilitate large shipments.
  • Meter mail and packages for post office delivery, including processing USPS materials off-site.
  • Monitor team mailbox and chat workspace, responding to emails and correspondence.
  • Collect payments for personal shipments from attorneys and staff and document client billing numbers.
  • Update mail and package routing systems and reference lists.
  • Participate in team and special projects, including moving boxes, supporting mailings, scanning/delivering client materials, and serving as a vendor contact.
  • Assist with the general appearance of the support services department, including ordering/stocking supplies and organizing the area.
  • Assist with preparing offices and workstations for new hires and inter-office moves.
  • Serve as an in-house messenger using company vehicle, public transportation, or walking.
  • Use software applications like Microsoft 365 to complete tasks and maintain electronic materials.
  • Participate in routine check-in meetings with the Operations Manager to discuss services, projects, and goals.
