About The Position

The main purpose of this position is to provide administrative support to the Director, Chief of Staff, Deputy Chief of Staff, and Special Assistant to the Chief of Staff. This position serves as the first point of contact for the Office of the Director and acts as a liaison between the Director’s Suite personnel and staff throughout BCDSS. The incumbent will provide customer service to both internal and external customers that meet or exceed the standards set by the department.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Two years performing secretarial or clerical work involving typing duties.
  • Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

Nice To Haves

  • One year of experience using Microsoft Office and Google Suite.
  • One year of experience drafting and managing correspondence.
  • One year of experience coordinating cross-functional teams, including setting timelines, tracking progress, and delivering results.
  • One year of experience in a fast-paced, evolving office environment.

Responsibilities

  • Serve as the first point of contact for the Office of the Director.
  • Communicate by telephone, e-mail, and facsimile with all levels of internal and external customers.
  • Receive and log in mail and correspondences requiring the director's signature.
  • Organize incoming and outgoing correspondences, mail, print material, and information packets for various agency advisory boards.
  • Proofread outgoing correspondence, reviewing for completeness and accuracy.
  • Maintain the chief of staff's calendar in the absence of the special assistant to the chief of staff.
  • Update and maintain the Director's Office phone directory, which consists of all leadership team members' phone numbers.
