About The Position

Provides lead secretarial and office management for a department, school or major school activity. Responsibilities may include high school registrar, and lead secretarial responsibilities in a district or school office. Essential functions may vary at the elementary, middle, high and district levels.

Requirements

  • High School diploma or equivalent
  • Criminal Justice Fingerprint Clearance
  • First Aid Certification
  • Expert level skills with computer applications including Excel and MS Word
  • Command of English in both written and verbal form; use correct spelling, grammar and punctuation
  • Thorough knowledge of district policies, state and federal laws, rules and regulations
  • Competence in financial and statistical record keeping
  • Conduct all job responsibilities independently with a high degree of confidentiality
  • Ability to work effectively with frequent interruptions and changing priorities while consistently producing accurate work
  • Interact positively with community members, staff and students
  • Ability to sit for prolonged periods, work independently, understand and carry out oral and written instructions
  • Significant physical abilities include reaching, handling, digital dexterity; talking and hearing conversation; near and distant visual acuity/visual accommodation

Nice To Haves

  • Associate of Arts degree or 5 years of successful job-related experience preferred

Responsibilities

  • Greets visitors, staff and students and provides direction, guidance and assistance
  • Meets with new families/students to determine student educational needs
  • Composes documents accurately for the purpose of communicating information
  • Prepares and processes written materials regarding school and/or district activities and procedures
  • Directs and manages student supervision as needed
  • Directs the work assignments of others for the purpose of meeting operational requirements
  • Oversees daily substitute staffing, identifies staffing needs and develops solutions
  • Proficiently operates and trains others within the school database system, including data gathering, sorting and analysis
  • Evaluates situations for the purpose of identifying potential improvements or reducing potential problems
  • Provides specialized knowledge, experience and technical assistance in a given field or department
  • Ensure compliance with district policies, state and federal laws, rules and regulations
  • Provides administrative staff support, maintains calendars and schedules of appointments, activities, facility use and other meetings as required
  • Maintains building and/or department budgets and accurate records as directed
  • Responsible for the general/ASB building budgets, maintains accurate records, processes purchase orders
  • Responsible for athletic clearances: ensures compliance with WIAA and District policy, maintains athletic calendars, provides support to coaches by providing participation lists, grade checks and completion certificates as needed
  • Maintains funds and electronic records for fiscal and other reporting including, but not limited to, payroll, reconciliation of general/ASB petty cash funds and imprest checking account, building fundraisers and field trips, procurement, daily bank deposits collecting of student’s fees, audit reports
  • Builds the master schedule; prepares all materials for scheduling
  • Completes transportation requests
  • Prepares and maintains required student records including, but not limited to, registration of new students, transcripts, enrollment, withdrawal, inter-zone and inter-district transfers, student information, schedule changes, free and reduced lunch, truancy, disciplinary, grade changes, emergency information, immunizations, etc.
  • Demonstrate sound and independent decision making skills
  • Establishes and maintains positive working relationships with community members, staff and students
  • May provide basic first aid for students for the purpose of meeting their immediate health care needs, as needed
  • Performs other building generated duties as assigned
