Requirements

  • Able to work in-office 5 days/week in Burlingame, CA
  • 3+ years of hands-on administrative or operations experience
  • Actively uses AI in your day-to-day work with genuine curiosity to keep learning and experimenting with it
  • Proven reliability and follow-through: does what you say you'll do, without reminders
  • Comfortable owning outcomes independently - can run the budget, vendors, and events
  • Proficient in Google Workspace and Asana (or similar PM tool) from day one
  • Warm, personable communicator - comfortable being the welcoming voice and face of Sage all day
  • Calm under pressure, able to juggle competing priorities (phone coverage, walk-ins, events, vendors) without dropping balls
  • Passionate about making a difference in the lives of older adults

Responsibilities

  • Serve as the welcoming face of Sage
  • Answer the main office phone line and ensure timely follow-up on voicemails
  • Welcome visitors, new hires, and team members to the office Monday-Friday, 9am-5pm
  • Oversee office operations, including facility management and safety protocols
  • Complete weekly PO box / bank runs and other errands as needed
  • Manage office supplies, equipment, and vendor relationships/service contracts (e.g., Verizon, T-Mobile, Zoom, Google Workspace, IT vendor)
  • Own the office expense budget
  • Oversee documentation processes and keep the Operations Resource Guide and policies current
  • Manage office phone lines and cell phones (Verizon and T-Mobile)
  • Coordinate #AllSage technology and software systems
  • Manage Google Workspace and company-wide communication lists
  • Lead employee event planning and coordination: holiday/gratitude party, company picnic, quarterly summits and lunches, and Company All Hands
  • Manage employee recognition programs (birthdays, work anniversaries, seasonal projects) and swag/holiday initiatives
  • Support new hire onboarding and facilitate administrative orientation
  • Maintain company calendars and coordinate team meetings
  • Collaborate with and support the People Ops team on people/culture programs & initiatives
  • Serve as a cross-functional point of contact for administrative and operational questions across service groups
  • Lead our #AllSage Operations working group - owning special projects that span across multiple teams
