About The Position

The Office Operations Coordinator I is responsible for ensuring the smooth day-to-day operations of the office. This role involves managing a wide range of tasks, including office inventory, maintenance coordination, administrative support, travel and expense administration, and invoice processing. The ideal candidate is organized, proactive, reliable, and comfortable juggling multiple priorities.

Requirements

  • 0–2 years of experience in an administrative, coordinator, or office support role
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and follow through
  • Strong communication and responsiveness
  • Comfortable learning new systems (e.g., Concur, Bill.com, DocuSign)

Nice To Haves

  • Experience supporting travel coordination or expense processes is preferred
  • Experience in an office or professional services environment is preferred

Responsibilities

  • Monitor and manage office inventory and supplies; placing orders as needed
  • Coordinate office maintenance needs and communicate with building vendors/contractors
  • Oversee office equipment (e.g., printers) and coordinate service requests
  • Manage incoming and outgoing mail and deliveries
  • Coordinate office lunches and general employee support needs
  • Provide general administrative support to team members and leadership as needed
  • Facilitate contract routing and signatures through DocuSign
  • Maintain organized document storage and internal filing systems
  • Support day-to-day office coordination and operational processes
  • Review and approve employee travel requests in Concur
  • Ensure travel and expense submissions align with company policy
  • Provide administrative support to employees on travel-related questions and needs
  • Enter vendor invoices into the invoice processing system
  • Post client payments to the accounting system and maintain accurate records of transactions.
  • Ensure invoices are coded correctly and routed to the appropriate approvers
  • Flag discrepancies or missing information for follow-up
  • Track invoice status to support timely processing
  • Other duties as assigned.
