We are looking for a dependable and detail-oriented Part-Time Office Operations Assistant to support the daily operations of our office. This is a structured, routine-based role where tasks and schedules are clearly defined and provided in advance. The ideal candidate is punctual, organized, and takes pride in maintaining a clean, welcoming, and well-stocked work environment. No prior office experience is required, just a positive attitude and a willingness to follow directions. This is a hands-on office operations role that combines technology support, administrative responsibilities, workplace organization, and the day-to-day upkeep of our office environment. We are looking for someone who is proactive, resourceful, technologically confident, and willing to jump in wherever needed to keep the office running smoothly.

Requirements

  • High school diploma or GED.
  • Ability to read, follow written and verbal instructions reliably.
  • Reliable transportation.
  • Punctual, dependable, and takes initiative to complete tasks without prompting.
  • Basic comfort with email or messaging apps for communication purposes.
  • Basic technology skills and the ability to learn and use office systems and equipment.
  • Ability to conduct desk research and gather information on vendors, services, events, and other requested topics.
  • Ability to lift up to 25 lbs (restocking inventory and receiving deliveries).
  • Friendly and professional demeanor, particularly around executive staff.

Nice To Haves

  • Prior experience is a plus but not expected - full training will be provided.

Responsibilities

  • Open and prepare the office each morning according to a provided daily checklist.
  • Brew and set up coffee and tea service for executives.
  • Prepare and coordinate bi-weekly catered lunches for staff and daily lunches for executives as directed.
  • Monitor and restock office and kitchen inventory on a regular schedule.
  • Submit purchasing requests and place orders for supplies when inventory is low.
  • Maintain organization of common areas, storage spaces, and supply rooms.
  • Receive and sort deliveries, mail, and packages.
  • Perform light cleaning and tidying of shared office spaces throughout the shift including emptying the dishwasher, cleaning windows/glass, etc.
  • Provide administrative and technology support to the Executive Assistant as needed. Examples include appointment scheduling or desk research.
  • Set up and reset meeting spaces, assist with catering and refreshments, prepare materials, and support onsite event logistics.
  • Help track deadlines, outstanding requests, and action items.
  • Complete ad hoc requests and special projects as assigned.
  • Complete all daily tasks in accordance with provided schedules and instructions.
