About The Position

The team at Advanced Space is leading humanity back to the Moon and pioneering innovative solutions in the space industry. Based in Westminster, Colorado, our team is seeking an enthusiastic, motivated, and detail-oriented Office & Marketing Coordinator to bring company events to life, coordinate travel (flights, hotels, and transportation), and manage accurate data entry. Requirements

  • 4+ years of experience in office management, facilities coordination, or administrative operations
  • Strong organizational skills and attention to detail
  • Proficiency in tools like Microsoft Office, and management platforms
  • Possesses strong self-management abilities and takes the initiative to work both independently and with a team
  • Dependable and produces quality work
  • Ability to manage multiple projects at once - must be very organized and efficient
  • Flexibility with schedule, including availability for occasional evening/weekend events
  • Ability to work in the Westminster, CO office 5 days/week during core business hours; flexibility for hybrid & remote work
  • Applicants must be a US Person (citizen or Green Card Holder/permanent resident, or protected individual

Nice To Haves

  • Associate or bachelor’s degree in business administration, operations, or a related field is preferred or experience in lieu of degree

Responsibilities

  • Manage incoming and outgoing mail (physical and digital)
  • Maintain distribution lists and contact databases
  • Respond to standard inquiries on behalf of the team
  • Create, format, and edit documents in Word, Excel, PowerPoint at a minimum and other company organizing programs
  • Perform basic data entry with accuracy
  • Schedule and coordinate internal meetings end-to-end
  • Prepare agendas, handouts, and presentation materials
  • Manage room reservations and AV/technology requirements
  • Coordinate catering and refreshment orders
  • Track office supply inventory and place routine orders
  • Coordinate with facilities for maintenance and repairs
  • Act as a liaison between departments, ensuring clear and timely communication
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate parties
  • Work at front desk greeting and supporting vistors
  • Assist in supporting and coordinating event logistics, including venue setup, catering, and audiovisual requirements
  • Support the planning committee by attending meetings and taking detailed notes
  • Organize and purchase materials and supplies needed for events
  • Help manage RSVP lists and ensure smooth check-in processes during events
  • Book flights, hotels, and transportation for team members.
  • Prepare detailed travel itineraries and handle travel-related inquiries
  • Assist in preparing marketing materials for events, happy hours, and career fairs
  • Attend events to manage setup, distribute swag, and document activities through photos
