About The Position

As a key member of the support team, you will help create an environment where agents can focus on what they do best by providing seamless technological solutions, marketing support, and administrative assistance. Your expertise will directly contribute to agent productivity, satisfaction, and success while supporting the brokerage’s marketing initiatives, brand standards, and advertising efforts. This position provides administrative support to the branch manager and sales associates, oversees and performs office operation duties, recruits and trains staff, interprets and enforces company policy and provides customer service. Duties may vary depending on the size of the real estate sales office.

Requirements

  • Bachelor’s degree in business administration or related field; or equivalent work experience and knowledge.
  • One to three plus years of related experience
  • Knowledge of real estate, title and /or mortgage business strongly preferred.
  • Strong computer skills; proficient in Microsoft Office products, including Word, Excel, Publisher and Access.
  • Social media posting experience
  • Excellent oral and written communication skills.
  • Effective interpersonal skills and leadership abilities. A strong customer-service focus.
  • Effective analytical, problem-solving and decision-making skills; initiative, attention to detail, and a team player.
  • Project management skills; ability to prioritize and handle multiple tasks and projects concurrently.
  • Ability to handle stress and work under pressure.
  • Ability to work evenings and weekends.

Responsibilities

  • Assist agents with marketing initiatives including social media content, digital advertising, email, marketing and listing presentations.
  • Plan, execute, and manage office level advertising initiatives while maintaining and monitoring the office advertising budget.
  • Serve as the liaison between the corporate marketing team and the local brokerage to guide agents through marketing requests and ensure adherence to brand standards.
  • Create and update listing presentations and marketing collateral such as flyers, brochures, handouts, and other materials.
  • Manage brokerage social media accounts including Facebook and Instagram.
  • Edit email templates and marketing content within established e marketing platforms.
  • Review and proofread listing descriptions and marketing content to ensure clarity, professionalism, and brand consistency.
  • Oversee the processing and verification of new listings and sales.
  • Ensure accuracy and timely preparation of purchase agreements, memorandums of agreement, and commission invoices.
  • Utilize digital signature platforms and maintain proper documentation.
  • Assist agents in launching new listings by inputting listing data into MLS, ShowingTime, Sentrilock, and other required systems.
  • Provide technical and administrative support for property listings, including coordinating photography, video posting, and virtual tour setup.
  • Help agents effectively utilize proprietary technology platforms, CRM systems, digital marketing tools, and transaction management systems.
  • Provide guidance, training, and troubleshooting support to ensure agents can fully leverage available technology and resources.
  • Assist with maintaining efficient digital workflows within the office.
  • Manage select day to day operational needs of the real estate office, including answering phones, greeting clients, record keeping, filing, supply management, and maintaining organized office systems.
  • Maintain proper files both in paper and digitally.
  • Provide administrative support to the sales or branch manager and assist with general office coordination as needed.
  • Perform additional duties as assigned to support brokerage operations, agent success, and marketing initiatives.
  • Meet all performance and behavior expectations outlined in the company performance appraisal form or communicated by management.
  • Perform responsibilities as directed achieving desired results within expected time frames and with a high degree of quality and professionalism.
  • Establish and maintain positive and productive work relationships with all staff, customers and business partners.
  • Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities. Take personal initiative for technical and professional development.
