About The Position

LangChain is seeking an Office Manager to own their New York (NY) hub end-to-end. This role is responsible for both the on-the-ground experience and the systems that make the office run smoothly. The NY hub is the company's second-largest and fastest-growing location, with a master lease and active expansion. This is a hands-on position for an individual who takes pride in maintaining a flawless space and developing the systems that support it. The role requires a consistent, on-site presence five days a week in the New York office.

Requirements

  • 4–6 years of experience in office/workplace management, facilities, or workplace operations within a high-growth tech environment.
  • Exceptional organizational skills, with a documentation-first approach and strong project management capabilities.
  • Proven experience owning workplace systems (ticketing, desk/room booking, visitor management) and vendor programs.
  • Demonstrated AI fluency, with an instinctive use of tools like Claude for automation and increased leverage.
  • Reliability and a commitment to a consistent, on-site, 5-day presence.
  • Ability to remain calm and proactive when issues arise ('Run to the roar').

Nice To Haves

  • Hospitality or premium service background (e.g., hotels).
  • Experience supporting office moves or buildouts.
  • Familiarity with LangChain, LangGraph, LangSmith, or comparable tools.

Responsibilities

  • Own the space and maintain a high standard of quality and organization.
  • Open and reset the office daily, ensuring it is clean, stocked, and ready before employees arrive.
  • Maintain a consistently neat, tidy, and organized environment, reflecting the company's quality standards.
  • Conduct regular walkthroughs to identify and address details such as tidying wires, arranging chairs, and ensuring nothing is out of place.
  • Serve as the primary point of contact for the office, greeting guests, welcoming and guiding new hires and visitors.
  • Plan and execute local in-office events, team gatherings, and any offsites hosted in NY.
  • Manage facilities, supplies, snacks, and equipment.
  • Oversee on-site vendor relationships, including cleaning, food services, and maintenance.
  • Act as the main local contact for building management and repairs, escalating buildout or warranty issues to the Lead.
  • Rationalize and manage vendor programs, transitioning from ad-hoc ordering to consistent, contracted programs.
  • Track office budget, assist in tracking cost-per-seat and utilization, and collaborate with the Finance department.
  • Manage the workplace ticket queue for the office and contribute to building a shared SLA framework and resolution metrics.
  • Deploy and manage the workplace technology stack, including desk booking, room scheduling, visitor management, and mail/delivery systems, in partnership with IT for networking.
  • Develop and maintain Standard Operating Procedures (SOPs), playbooks, and trackers, collaborating with the San Francisco Office Manager on shared standards.
  • Manage space planning and employee moves as the NY hub grows, ensuring clear and low-drama communication.
  • Oversee site life-safety responsibilities, including emergency action plans, evacuation procedures, first aid/AED, and drills, as part of the company-wide program.
  • Utilize AI tools to automate manual tasks such as ticket management, vendor communications, inventory tracking, and invoice/billing reconciliation.
