About The Position

The Office Manager provides day-to-day leadership for office support activities that enable efficient plant operations and accurate business administration. This role serves as a key coordination point across Accounting, Sales, Operations, Corporate HR, customers, and vendors to ensure timely processing of operational, financial, and personnel-related work. The position is expected to manage multiple priorities independently, communicate effectively with employees at all levels, and maintain a high standard of professionalism, accuracy, and follow-through in a fast-paced manufacturing environment.

Requirements

  • High school diploma or equivalent required.
  • 4+ years of office management experience in a fast-paced office environment.
  • Proficient in Microsoft Office applications, with strong to advanced-intermediate Microsoft Excel capability.
  • Strong problem-solving, research, documentation, and issue-resolution skills, with the ability to follow complex tasks through to completion.
  • Effective written, verbal, and interpersonal communication skills, with the ability to work across all levels of the organization.
  • Strong organizational skills and attention to detail, with a focus on accuracy, efficiency, and accountability.
  • Ability to work independently, manage competing priorities, and adapt in a deadline-driven manufacturing environment.
  • Team-oriented approach with a strong sense of ownership and commitment to overall company success.
  • Ability to read, write, and comprehend written instructions, perform basic arithmetic, and use computer systems effectively.
  • Willingness to work outside of normal business hours when needed to support operational requirements.

Responsibilities

  • Coordinate daily office and process-related activities with Accounting, Sales, and Operations to ensure tasks are completed accurately and on time, including work tied to critical end-of-month deadlines.
  • Oversee core office administration activities, including data entry and tracking, shipping, sales orders, customer billing, purchase orders, and submission of vendor invoices to corporate accounts payable, ensuring transactions are completed timely and accurately.
  • Ensure monthly financial activities are finalized and submitted to Accounting in alignment with required close timelines and end-of-month expectations.
  • Manage accounts receivable aging review and collections efforts by coordinating across departments to resolve customer issues, recover outstanding payments, and improve future billing outcomes.
  • Support Corporate HR processes by submitting new hire paperwork, approving weekly payroll entries, and assisting with general personnel-related activities at the plant level.
  • Partner with site leadership to support environmental and safety initiatives, coordinate training logistics, respond to special reporting requests, and assist with performance tracking that improves operational effectiveness.
  • Maintain professional, respectful, and courteous communication in all interactions with employees, customers, vendors, and internal business partners.
