About The Position

As we open our first Minnesota location, we're looking for someone excited by the opportunity to help launch something meaningful and foster a strong mental health community from day one. You'll play a key role in establishing our presence in a new market, building a local team, and creating a place where providers, clients, and employees can thrive. This role is about more than managing an office. You'll help shape the provider experience, lead a team that supports them every day, and create an environment where clients feel welcomed and providers can build successful, sustainable practices. As our first Office Manager in Minnesota, you'll have the opportunity to shape the office and team from the start. You'll have the support of an experienced leadership team while maintaining meaningful ownership over the success of the location. Because much of your day-to-day collaboration will happen virtually, we're looking for someone who communicates well, enjoys solving problems, seeks support when needed, and is energized by helping grow a new office.

Requirements

  • A bachelor's degree or equivalent leadership experience.
  • Three or more years leading and developing a team in a fast-paced, service-focused environment such as healthcare, hospitality, retail, banking, fitness, hotel operations, customer service, or a similar industry.
  • Experience hiring, coaching, and developing employees.
  • Strong communication and relationship-building skills.
  • The ability to prioritize, stay organized, and adapt as business needs change.
  • Confidence working independently while staying closely connected with a virtual leadership team.
  • Strong problem-solving skills and sound judgment.
  • Ability to successfully complete a background check.

Responsibilities

  • Oversee the day-to-day operations of the office, including facilities, vendors, supplies, safety, and the details that keep everything running smoothly.
  • Look for opportunities to improve the overall experience, whether that's solving a problem, improving a process, or making sure the office is a place people enjoy being in.
  • Stay organized, think ahead, solve problems, and create an environment where people can do their best work.
  • Build and develop a small local support team.
  • Build trust, setting clear expectations, and creating an environment where people feel supported, challenged, and encouraged to grow.
  • Meets people where they are at, recognizes that everyone learns differently, and knows how to help each person build confidence and new skills over time.
  • Celebrate progress, give honest feedback, coach through challenges, and have difficult conversations when they're needed, always with the goal of helping someone be successful.
  • Create the relationships and provider experience that will shape our reputation in the market.
  • Build relationships with your assigned provider cohort, understand what success looks like for each, and partner with them as they grow their practice.
  • Review practice metrics together, identify opportunities, help providers work through obstacles, celebrate progress, and connect them with the tools, education, and resources available at Mindful.
  • Build trust. The numbers help identify where support may be needed, but the conversations are where the real coaching happens.
