About The Position

As Mindful Support Services opens its first Minnesota location, we are seeking an Office Manager to help launch this new venture. This role is crucial in establishing our presence in a new market, building a local team, and creating a thriving environment for providers, clients, and employees. The Office Manager will be responsible for overseeing daily operations, including facilities, vendors, and supplies, while also focusing on improving the overall office experience. A key aspect of the role involves team leadership, including hiring, coaching, and developing a small local support team. Additionally, the Office Manager will partner with mental healthcare providers, understanding their goals and challenges, and connecting them with resources to help them grow their practices. This position requires strong leadership, communication, and problem-solving skills, with the ability to work independently while collaborating with a virtual leadership team.

Requirements

  • A bachelor's degree or equivalent leadership experience (three or more years leading and developing a team in a fast-paced, service-focused environment such as healthcare, hospitality, retail, banking, fitness, hotel operations, customer service, or a similar industry).
  • Experience hiring, coaching, and developing employees.
  • Strong communication and relationship-building skills.
  • The ability to prioritize, stay organized, and adapt as business needs change.
  • Confidence working independently while staying closely connected with a virtual leadership team.
  • Strong problem-solving skills and sound judgment.
  • Ability to successfully complete a background check.

Responsibilities

  • Oversee the day-to-day operations of the office, including facilities, vendors, supplies, and safety.
  • Look for opportunities to improve the overall office experience for clients, providers, and employees.
  • Build and develop a small local support team.
  • Build trust, set clear expectations, and create a supportive environment for team members.
  • Provide feedback, coaching, and support for team growth.
  • Build relationships with assigned providers, understand their goals, and partner with them as they grow their practice.
  • Review practice metrics with providers, identify opportunities, and help them work through obstacles.
  • Connect providers with available tools, education, and resources.
  • Ensure the office is a place people enjoy being in.
