About The Position

As the Office Manager, you will report to the Associate Director of Administrative Services and perform a variety of administrative and fiscal tasks for the Office of the Campus Veterinarian (OCV), a unit within the Office of Research (OR). You will work closely with the Director of the OCV to oversee day-to-day operations, including setting priorities, serving as the building coordinator, managing the OCV vehicle fleet, overseeing all aspects of supplies, and supporting cleaning for work attire and veterinary spaces. You will manage all financial activities for state funds and four university service centers; supervise a Fiscal Specialist 2 and any part-time financial staff; support human resource processes; and participate in strategic planning. This position is part of a veterinary team that supports research, teaching, and testing through high-quality animal care. The work may include exposure to emotionally challenging circumstances and requires the ability to maintain professionalism in sensitive situations.

Requirements

  • A Bachelor’s degree involving major study in business administration or closely allied field and one (1) year of supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office; OR one (1) year of experience in State service as an Administrative Assistant 2, HR Assistant 2, or Data Compiler 3 or two (2) years in State service as an Administrative Assistant 1, or HR Assistant 1, or equivalent involving supervisory or office management responsibility.
  • Additional qualifying experience will substitute, year for year, for education.
  • Excellent oral and written communication skills.
  • Demonstrated attention to detail.
  • Proficient in computer usage to include Microsoft Suite products.
  • Experience with various financial activities such as accounts payable, accounts receivable, purchasing, travel, personnel, cost analysis and budget planning.
  • Strong work ethic and willingness to maintain confidentiality.

Nice To Haves

  • Previous administrative or fiscal work in a veterinary hospital, research or biomedical institution, or similar company.
  • Experience and/or knowledge of state and federal laws/regulations pertaining to fiscal management.
  • Experience with Washington State University (WSU) or higher education system, which includes familiarity with a mainframe system, personnel processes, budget experience and fiscal process.
  • Knowledge of Washington Administrative Codes and WSU Business Policies and Procedures.
