About The Position

Elite DNA Behavioral Health is one of the largest providers of behavioral and mental health services in Florida, expanding quickly and committed to high-quality, accessible care and a supportive professional environment. They are seeking to hire a full-time Office Manager to maintain an orderly and efficient office routine, respond to patient inquiries, administer guidelines for prioritizing work, and review financial documents. The role involves working with clinic staff on performance standards, valuing cultural diversity, and providing services and coordination to psychiatrists, PAs, and APRNs. The Office Manager will initiate and complete documentation, perform duties in a prioritized manner, collaborate with team members for a positive client experience, follow instructions, and provide timely documentation. Specific duties include assisting physicians and nurses with client care, filing, chart documentation, faxes, prescription programs, telephone follow-up, maintaining patient records, monitoring and returning voicemails within 24 hours with proper documentation, triaging patient calls, reviewing Athena messages, and discussing patient concerns with providers within 24 hours.

Requirements

  • Bachelor’s degree from an accredited college or university in business administration or health care related field. Experience may substitute some education.
  • Minimum of three to five years experience in healthcare.
  • Proficiency in oral and written communications
  • Excellent time and project management skills.
  • Excellent attention to detail, problem-solving, and customer service.
  • Must demonstrate positive interpersonal relationship skills with individuals and groups in a wide variety of settings
  • Medical terminology knowledge essential
  • Effectively uses Electronic Health Records; Athena experience preferred.
  • Proficiency in Microsoft Office.

Responsibilities

  • Maintaining an orderly and efficient office routine.
  • Responding to patient inquiries and other correspondence.
  • Administering established guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
  • Reviewing statements, invoices, receipts, and charges.
  • Working with clinic staff (i.e. co-pay collections and A/R) to establish performance standards for work assignments, monitoring work status and progress including goals and objectives.
  • Valuing cultural diversity and other individual differences in the workforce, ensuring that the organization builds on these differences.
  • Providing services to individuals and coordination/support to psychiatrists, PA and APRNs.
  • Initiating and completing all relevant documentation within organizational time frames.
  • Performing duties in a prioritized, organized, and orderly manner to maximize clinic efficiency and productivity.
  • Collaborating with team members and other staff to ensure a complete, appropriate and positive experience for all clients.
  • Following instructions and completing job duties as assigned by providers and management staff.
  • Providing appropriate and timely documentation.
  • Assisting the physician and nurse with direct client care as well as tasks such as filing, chart documentation, faxes, prescription medical programs and telephone follow-up as assigned.
  • Maintaining, copying and filing patient records and other information as needed.
  • Monitoring voicemails throughout the day, returning calls and effectively resolving the reason for call within 24 hours of the call.
  • Triage patient phone calls, both incoming and on voice mail.
  • Reviewing Athena messages and respective inbox and messages.
  • Discussing patient concerns with respective provider within 24 hours of incoming call, email, voicemail or message.
  • Providing information for afterhours call line and information to call if patient has a question.
