About The Position

STV is seeking an organized and outgoing Office Manager/Admin to assist one of our Aviation clients in Chicago, IL. This position will be fully onsite at our client site in Chicago.

Requirements

  • 8 years+ experience working as an Administrative Assistant or Office Manager in a busy office atmosphere
  • Proficiency in Microsoft ® Suite, including Word, Outlook, Excel, and PowerPoint
  • Self-motivated decision maker and problem solver
  • Strong planning, organizational and communication skills
  • Client-focused and a strong work ethic

  • Bachelor's degree preferred or equivalent work experience

Responsibilities

  • Maintain overall office appearance and cleanliness, ensuring shared spaces (lobbies, break rooms, and conference rooms) are tidy, stocked, and welcoming.
  • Reset conference rooms after meetings (chairs, technology, supplies).
  • Oversee booking, scheduling, and on-site support for large conference rooms, including troubleshooting conflicts.
  • Serve as primary point of contact for building management, coordinating badge access, deliveries, and reporting/monitoring facilities issues (HVAC, plumbing, lighting, etc.).
  • Manage space planning and seating assignments, including moves or reconfigurations to support team growth.
  • Coordinate parking passes, visitor access, and transportation logistics.
  • Maintain office supplies inventory and manage vendor contracts (coffee, break room supplies, cleaning, etc.).
  • Serve as the Airport Badging Coordinator, acting as an authorized signatory responsible for processing badge applications, scheduling appointments, tracking badge renewals, and ensuring compliance with airport badging requirements.
  • Handle onboarding of new employees, including setup of workspace, technology, and building access.
  • Provide general support and hospitality for visitors, VIPs, and executive guests.
  • Coordinate recognition events, birthdays, milestones, and cultural activities to strengthen team engagement.
  • Plan and oversee team-building, volunteer, and community outreach events.
  • Report to and coordinate with the Program Management Team (PMT) Directors.
  • Coordinate Program Management Team (PMT) Directors’ schedules.
  • Schedule and facilitate meetings, including ordering meals when necessary.
  • Develop and implement office policies, procedures, and standards.
  • Coordinate office equipment maintenance with IT.
  • Track and monitor office budget for supplies, events, and facility needs.
  • Serve as the internal communications hub for office-wide updates, reminders, and scheduling information.
  • Coordinate program wide All Hands meetings, including aligning PMT leadership calendars, scheduling, issuing invitations, securing space, ordering catering, and ensuring technology is in place.
