About The Position

At Ironwall, we're growing our team and our Mission Viejo office. We're looking for an Office Manager who can take ownership of the day-to-day office experience, support managers and employees, assist with HR and administrative processes, and help coordinate business travel. This role involves owning day-to-day office operations, serving as a go-to resource for employees and managers, managing office supplies, vendors, facilities, and equipment, supporting travel arrangements, coordinating office projects and events, assisting with HR onboarding and logistics, supporting recruiting coordination, and partnering with the HR Manager on administrative HR tasks.

Requirements

  • 2+ years of experience in office management, administration, HR coordination, or a similar role
  • Experience coordinating business travel and using travel booking platforms
  • Highly organized, detail-oriented, and able to manage multiple priorities independently
  • A proactive, hands-on approach — you see what needs to be done and take care of it
  • Strong communication and interpersonal skills with the ability to work comfortably with employees at all levels
  • Discretion and professionalism when handling confidential employee and company information
  • Comfortable supporting both office operations and HR-related administrative tasks
  • Strong computer skills and the ability to quickly learn new systems and tools
  • A problem-solver who is adaptable, dependable, and comfortable working in a fast-paced, growing environment
  • Professional communication skills in English

Responsibilities

  • Own day-to-day office operations, ensuring the workplace is organized, welcoming, and running smoothly
  • Serve as a go-to resource for employees and managers, helping coordinate requests, manage calendars, and resolve day-to-day needs
  • Manage office supplies, vendors, facilities, equipment, and other workplace needs
  • Support travel arrangements for employees attending conferences, trade shows, company events, and business meetings
  • Support office projects, events, team activities, and employee engagement initiatives
  • Assist with HR onboarding, equipment, & first-day logistics
  • Assist with recruiting coordination, including scheduling interviews and communicating with candidates
  • Help coordinate employee communications, HR programs, and company initiatives
  • Partner with the HR Manager on administrative HR tasks and special projects as the company continues to grow
