About The Position

Smartland, a Northeast Ohio real estate and property-management firm, is launching a new pest control company and is hiring an Office Manager to run its office. This is an opportunity to be an early, foundational hire in a brand-new business with the stability and backing of an established parent company. The ideal candidate will have experience holding a small business together and is looking for a role where their contributions are appreciated.

Requirements

  • A strong affinity for organization, including checklists, spreadsheets, and calendar management.
  • Previous experience managing the office of a small service business (pest control, HVAC, plumbing, landscaping, cleaning, electrical, or similar).
  • Proficiency in QuickBooks, including invoicing, payments, and accounts receivable.
  • Experience with scheduling or dispatch software (e.g., GorillaDesk, FieldRoutes, Jobber, Housecall Pro, ServiceTitan) or the ability to learn new software quickly.
  • Ability to multitask effectively under pressure and ensure no tasks are missed.
  • Excellent communication skills, both warm and professional, with the ability to handle customer inquiries and payment collections.
  • High level of trustworthiness and reliability, with access to payroll and bank accounts.

  • Experience in the pest control industry.
  • Experience building office processes and order from the ground up in a startup environment.

Responsibilities

  • Booking jobs and building the daily schedule to ensure technicians are efficient.
  • Answering phones, converting callers into booked appointments, and managing customer concerns.
  • Handling invoicing, processing payments, following up on outstanding balances, and maintaining financial records in QuickBooks.
  • Operating scheduling/CRM software and ensuring customer records are accurate.
  • Ordering necessary chemicals and supplies for technicians.
  • Managing critical administrative tasks such as licenses, insurance, and renewals.
  • Assisting with light HR duties as the company grows, including onboarding new hires, tracking time off, and developing simple policies and procedures.
  • Providing a weekly summary report to the owner on business status.
