About The Position

We are a patient-centered fertility clinic dedicated to providing compassionate reproductive care. Our team supports individuals and families on their journey to parenthood through personalized treatment plans, advanced technology, and a warm, welcoming environment. We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures the smooth and efficient functioning of the clinic's operations while maintaining a high standard of patient care and compliance with medical regulations. This role requires a deep understanding of both healthcare administration and the specific challenges and requirements of the fertility clinic.

Requirements

  • Bachelor's degree in operations management, business administration, or related field
  • 2–5+ years of office management experience, preferably in a healthcare or fertility clinic setting
  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment

Responsibilities

  • Oversee the day-to-day operations of the fertility clinic, ensuring the efficient utilization of resources, staff and facilities
  • Develop and implement operational policies, procedures, and protocols to maintain a high level of patient care and safety.
  • Works closely with management team to ensure all operational, administrative, and compliance functions within the clinic are being properly executed in accordance to regulatory based practices
  • Foster effective communication and collaboration with medical staff, including providers, nurses, and laboratory professionals.
  • Serve as a primary point of contact when there are patient related issues.
  • Ensure strict compliance with all relevant medical regulations, including HIPAA and state-specific fertility clinic guidelines.
  • Set performance goals, conduct regular evaluations, and provide continuous training and development opportunities.
  • Ensure that all clinical facilities and equipment are well maintained, safe and up to date.
  • Coordinate equipment maintenance and repairs as needed.
  • Prepare regular reports on clinic performance, patient outcomes, and operational metrics.
  • Develop and implement emergency response plans to address unexpected events and ensure patient safety
