About The Position

The Office Manager is responsible for overseeing the day-to-day operations of the office and supporting the internal team to ensure efficiency, accuracy, and excellent customer service. This role plays a key part in managing client orders, resolving product issues, maintaining backend systems, and supporting business growth through account management and administrative tasks.

Requirements

  • Previous experience in office management, customer service, or administrative roles preferred
  • Strong organizational and multitasking skills
  • Excellent communication and problem-solving abilities
  • Experience with Microsoft Excel (preferred)
  • Ability to quickly learn new software systems (experience with OneCup and/or WorldShip is a plus)
  • Detail-oriented with a high level of accuracy
  • Comfortable working in a fast-paced environment
  • Willingness to take on new technology and processes
  • Proactive and solution-oriented
  • Strong sense of accountability and follow-through
  • Team player with a positive attitude
  • Adaptable and eager to learn

Responsibilities

  • Manage and coordinate daily office activities to ensure smooth operations
  • Maintain organized processes and workflows to support the team
  • Handle general administrative and backend office functions
  • Place and manage client orders accurately and efficiently
  • Address and resolve issues such as incorrect or damaged products
  • Coordinate with internal teams to expedite orders and meet client delivery expectations
  • Monitor order status and proactively communicate updates to clients
  • Provide high-quality customer support by responding to inquiries and resolving concerns
  • Build and maintain positive relationships with clients
  • Ensure a strong customer experience from order placement through delivery
  • Assist in creating and setting up new customer accounts
  • Maintain accurate customer records and data
  • Support ongoing account needs and client communications
  • Utilize internal systems, including OneCup, for order processing and backend tasks
  • Generate and manage shipping labels using WorldShip
  • Learn and adapt to new technologies and systems as required
  • Maintain accurate data entry and reporting
