About The Position

Empire Distributors Inc, a leading beverage distributor, is seeking an Office Manager. This role offers excellent benefits, competitive wages, and potential for growth opportunities.

Requirements

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Ability to effectively use the following Microsoft Office applications: Word, Excel [formulas], Powerpoint, Publisher, Internet Explorer and Outlook.

Responsibilities

  • Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payrolls, personnel, information management, filing systems, requisition of supplies, and other clerical services.
  • Monitors and guides accounts payable and receivable activities.
  • Coordinates activities for the accounts receivable and payable functions at the location.
  • Forwards completed actions to the State Corporate office.
  • Coordinates the human resources, customer service and invoicing aspects at the location.
  • Maximizes office productivity through proficient use of appropriate software applications.
  • Researches and develops resources that create timely and efficient workflow.
  • Establishes uniform correspondence procedures and style practices.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Plans office layout, develops office budget, and initiates cost reduction programs.
  • Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness.
  • Prepares activities reports for guidance of management.
  • Coordinates activities of various clerical departments or workers within department.
  • Maintains contact with customers and outside vendors.
  • Supervises customer service and order processing.
  • Checks pricings on incoming products.
  • Calculates hours worked and prepares payroll activities.
  • Presents new hire orientation programs for new employees.
  • Responsible for telephone set up and coordination with telephone vendor.
  • Coordinates special billing activities with suppliers.
  • Maintain and monitor all office paper communication with corporate office.
  • Updates samples to customer accounts.
  • Other duties as assigned by the General Manager.
