About The Position

The Office Manager is a proactive and detail-oriented professional responsible for overseeing daily office operations, fostering an organized and efficient work environment, and serving as the connective hub across teams. This role ensures the Middleton office operates smoothly while supporting The Procopio Companies’ culture of collaboration, accountability, and excellence.

Requirements

  • 3–5 years of experience in office management, executive administration, or business operations.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Can do attitude.
  • Ability to assess, manage, and create processes.
  • Ability to effectively manage vendors.
  • Strong written and verbal communication skills with a professional and approachable demeanor.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to exercise sound judgment, maintain confidentiality, and work with minimal supervision.
  • Demonstrated ability to foster teamwork, anticipate needs, and proactively solve problems.

Nice To Haves

  • Familiarity with EOS, Sage Intacct, Yardi, Ninety.io, and/or Juniper Square is a plus.

Responsibilities

  • Oversee day-to-day office operations to ensure a clean, organized, and professional workspace.
  • Sit at the front desk to greet and direct guests, clients, and vendors, providing a professional and welcoming experience.
  • Manage conference room scheduling, setup, and upkeep to support internal and external meetings, including AV and hospitality needs.
  • Serve as the office gatekeeper balancing hospitality and discretion while ensuring proper access, security, and information flow.
  • Manage vendor relationships, including cleaning, maintenance, supplies, and office equipment service providers.
  • Oversee ordering and inventory for office, kitchen, and facility supplies.
  • Serve as the primary point of contact for building management and maintenance issues.
  • Maintain and optimize administrative processes, forms, and office systems for efficiency and consistency.
  • Coordinate scheduling, travel, and meeting logistics for leadership and project teams.
  • Support internal and external meetings, including room setup, catering, and technical coordination.
  • Manage company-wide calendars, conference room bookings, and team event planning.
  • Assist with onboarding new hires, ensuring their first-day setup and office experience are seamless.
  • Draft and distribute internal communications, memos, and announcements.
  • Partner with the People & Culture team to coordinate company events, celebrations, and recognition initiatives.
  • Help maintain a positive and inclusive office environment aligned with Procopio’s values.
  • Serve as an approachable, resourceful, and solution-oriented presence for all employees.
