About The Position

Paul Davis Restoration of Southwest Montana is seeking an experienced Office Manager to lead our financial and administrative operations as we expand beyond the Gallatin Valley into neighboring markets. This is a key leadership position responsible for ensuring our office operates efficiently, our financial records are accurate, and our systems are built to support continued growth. You'll work directly with ownership and help shape the future of one of Southwest Montana's fastest-growing restoration companies. Requirements

  • Advanced proficiency in QuickBooks Online.
  • Experience with General Ledger management, Accounts Receivable, Accounts Payable, payroll, reconciliations, financial reporting, and job costing.
  • Previous leadership or supervisory experience.
  • Strong accounting knowledge and exceptional attention to detail.
  • Outstanding organizational, communication, and problem-solving skills.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
  • High level of integrity, professionalism, and accountability.
  • Proficiency with Microsoft Office and cloud-based business software.
  • Valid driver's license.

Nice To Haves

  • Experience in construction, restoration, or another project-based service business.
  • Experience with RMS, Xactimate, or similar job management software.
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

Responsibilities

  • Lead and support the office administrative team.
  • Serve as the company's QuickBooks Online subject matter expert.
  • Manage Accounts Receivable, Accounts Payable, payroll, reconciliations, and financial reporting.
  • Maintain accurate job costing within RMS and QuickBooks Online.
  • Prepare financial information for ownership and our CPA.
  • Develop and improve office systems, workflows, and standard operating procedures.
  • Support strategic initiatives and company growth into new markets.
  • Build strong relationships with customers, vendors, subcontractors, and insurance partners.
