About The Position

CommQuest seeks a Full-time Office Manager to work at our Outpatient office located in Alliance, OH. This includes supervising staff, managing facilities, handling confidential information, greeting clients, and conducting interviews. They may manage incoming calls, provide agency information, and perform various office duties such as data entry and word processing. Decision-making within agency policies is essential. They must also be cross trained to ensure excellent client care and engagement, interact professionally with clients and staff, and possess expert knowledge of agency services. Additionally, they handle clients experiencing emotional distress or behavioral challenges with dignity and seek assistance when necessary. Requirements

  • Minimum of a High School Diploma or GED equivalent is required
  • Intermediate computer navigation skills are required for extensive computer usage with MS Office
  • Must have the ability to manage a multi-line phone system maintaining a professional and pleasant demeanor in stressful situations

Nice To Haves

  • Previous experience with NextGen and/or other Electronic Health Records database, Charge Verification, Charge Entry, and/or Billing is highly preferred

Responsibilities

  • Provides supervision to administrative and clerical staff.
  • Receives payments from clients, prints receipts, posts payments, runs daily deposit ledger, and balances cash drawer at end of shift.
  • When applicable per site location: Checks in clients for appointments, collecting correct payment from client at the time of service. Informs counselors when the client is ready to be seen.
  • Provides clients with additional program and treatment services information, both in and out of the agency. Assists with functions/duties for said programs and treatment services as necessary.
  • Takes daily deposits to the bank and sends corresponding paperwork to the accounting department, when applicable per site.
  • Reviews the financial consent/release/paperwork forms and process, including having clients sign financial form(s) agreeing to be responsible for any balances not covered by insurance, and answer client questions regarding fees, payment plans, self-pay, and billing.
  • All other duties as assigned
