About The Position

The Office Manager in Canmore is a dynamic position in a small group that is responsible for the sales, marketing, and execution of weddings and other events, as well as the management of gym memberships, invoicing and some finance. The job also includes working closely with the Manager and facility maintenance coordinator to maintain a safe and smooth operating training center for the Nordic Sports and other Stakeholders. We are a small team who gets involved in all aspects of the operation, we all have our specific roles, but we also find ourselves cleaning toilets and shoveling snow when necessary. This role involves working Saturdays, mostly during the summer months. Requirements

  • Experience in the wedding and or hospitality industry is an asset
  • Ability to manage multiple projects and deliver them on time and on budget
  • Strong interpersonal and communication skills
  • Ability to work independently and seek guidance when needed
  • Proven ability to work as part of a broader team
  • Positive, pro-active attitude and an ability to multi-task
  • Highly organized and accountable
  • Strong computer skills and experience with various computer systems and programs such as Microsoft Office
  • Knowledge in Photoshop, Adobe Illustrator, website design & management is an asset

Responsibilities

  • Ensure the facilities are maintained in a safe and clean condition according to applicable health and safety standards and Winsport policy, sometimes including various daily cleaning tasks and managing cleaning schedule.
  • Maintain current knowledge of wedding industry trends and statistics
  • Manage sales and revenue of gym memberships, weddings, and other events.
  • Manage marketing, research, and design promotional material to bring in revenue from Weddings, Events, and Gym Memberships.
  • Maintain social media for the BWTC
  • Organize and perform facility showings for potential wedding clients
  • Prepare and perform tear down of the BWTC space for booked weddings, functions, and other events.
  • Liaise with clients and guests for all wedding and/or event bookings and inquiries
  • Perform various administrative tasks including month end cash deposit, accounts payable, accounts receivable, invoicing, and month end statistics.
  • Order and maintain the inventory of gym, office, event equipment, linen, bar supplies.
  • Facilitate planning, contracts, invoicing, quotes, and payment collection for weddings and other events.
  • Liaise with various sport teams, government partners, and clubs regarding venue bookings and gym access.
  • Manage staff scheduling
  • Maintain gym and facility usage statistics.
  • Assist in upkeep of BWTC external landscaping.
  • Participate in bartending, bar services, and bar coordination tasks.
  • Demonstrate a safe work practice at all times by adhering to all WinSport safety policy and procedures and ensuring one’s own safety is preserved along with the safety of co-workers and WinSport guests
  • Must be able to work weekends, Saturdays during the summer months are usually booked solid with weddings
