About The Position

Élan Academy is seeking a warm, organized, and dependable Front Office Manager to serve as the welcoming face of our school community. In this role, you will be the first point of contact for scholars, families, staff, and visitors, setting the tone for the safe, supportive environment we work hard to maintain every day. Requirements

  • Associate’s Degree (preferred)
  • Bilingual (highly preferred but not required)
  • 3 years of experience working in an office environment, preferably within a school.
  • Strong organizational and multitasking skills.
  • Must be comfortable learning and using school data systems and digital communication tools.
  • Customer Service: Ability to interact warmly and professionally with scholars, families, staff and visitors.
  • Professionalism: Maintains a positive attitude, dresses appropriately, and represents the school with integrity and professionalism. Must be able to remain calm, and professional, as well as solution oriented in high-pressure situations or when dealing with upset individuals.
  • Organization & Time Management: Capable of handling multiple tasks efficiently while meeting deadlines in a fast-paced environment.
  • Communication : Strong verbal and written communication skills; ability to relay information clearly and respectfully.
  • Attention to Detail : Accurate record keeping and supply tracking.
  • Team Collaboration: Works well with others including school staff and contributes to a supportive, team-focused office environment.

Responsibilities

  • Embody & Élan Academy’s mission, vision, and values;
  • Participate in an annual summer staff orientation and training;
  • Greet and assist scholars, parents, staff, and visitors in a professional and courteous manner.
  • Enforce visitor policies, including sign-in procedures and campus security protocols.
  • Answer and manage incoming phone calls, route messages, and respond to general inquiries in a timely manner.
  • Accurately enter and track student tardies and early dismissals.
  • Assist leadership and teachers with contacting families of scholars who have not been picked up by 4:05 PM.
  • Support daily attendance-related processes, ensuring all records are up to date.
  • Assist the Data Coordinator with maintaining student records, enrollment, registration, and withdrawals.
  • Provide cafeteria staff with accurate daily snack counts to support meal distribution.
  • Assist with the preparation and distribution of progress reports and report cards to families.
  • Provide clerical and administrative support to the CEO and Leadership Team as needed.
  • Perform general office duties, including data entry, filing, copying, and mail distribution.
  • Maintain a clean, safe, and organized front office environment.
  • Assist the Director of Operations with ordering office and classroom supplies.
  • Distribute office and classroom supplies; coordinate with vendors as needed.
  • Troubleshoot copier and printer issues and coordinate with vendors for repairs and servicing.
  • Order toner and supplies for copiers and printers, ensuring machines remain fully operational.
  • Maintain and monitor office equipment to ensure minimal disruption to daily operations.
  • Prepare and set up for board and finance meetings, including printing and posting agendas.
  • Assist with school events and special projects as needed.
  • Provide translation or bilingual support through language line when necessary.
