About The Position

The role and responsibility of the Office Manager includes working closely with the Head of Administration. This multifaceted role combines legal support, office administration, and financial management to ensure a smooth day to day operation at Marcel. The ideal candidate is proactive, trustworthy, able to manage competing priorities, and comfortable working independently in a fast paced environment.

Requirements

  • 2-3 years of experience
  • Experience with Google products including Drive, Docs, and Sheets.
  • Experience with Microsoft products including Word and Excel
  • Bachelor’s Degree required
  • Affinity for multi-tasking
  • Keen eye for detail
  • Can both follow and improve upon internal processes
  • Excellent communication skills.
  • Self motivated
  • Interest in making a difference

Nice To Haves

  • Experience with Quickbooks Online Accounting Software preferred

Responsibilities

  • Contract management, think paralegal
  • Facilitate communication between prospect or client and Marcel, and when needed outside counsel
  • Maintain up to date contract templates
  • Manage the contract lifecycle by coordinating contract creation, revisions, amendments, renewals, execution, document retention, and ongoing maintenance to ensure accuracy, compliance and accessibility of all contractual records
  • General bookkeeping
  • Monthly invoicing
  • Process accounts payable
  • Time and materials billing
  • Assist with closing the month
  • Sourcing Order for vendors
  • Client PO/IO billing
  • Assist with budgeting and cash flow monitoring
  • Oversee daily office operations and ensure efficient workflow
  • Maintain office policies, procedures, and administrative systems
  • Order and manage office supplies
  • Coordinate maintenance, equipment, and technology needs
  • Coordinate with IT, insurance providers, and outside vendors
  • Maintain virtual file management system and ensure compliance with firm policies
  • Liaison with our co-working space
