Ambient.ai is seeking a high-energy, proactive, and tech-savvy Office Manager to serve as the backbone of daily operations. This role involves curating the office environment, architecting celebrations, and providing first-line support for the team. The ideal candidate will be a self-starter who takes immense pride in their work, operates with a sense of urgency, and possesses a "no task too small" attitude. They should be professional, discreet, approachable, and firm in maintaining office policies and budgets, with a strong technical aptitude in Google Suite and AI tools. Ambient.ai is a leader in Agentic Physical Security, powered by a reasoning Vision-Language Model, and is on a fast-paced journey to prevent security incidents. Requirements

  • A Bachelor’s degree is required.
  • 2+ years in Office Management, Event Management, or a similar high-touch operational role.
  • Able to lift 25+ lbs.
  • Self-starter who takes immense pride in their work.
  • Operates with a sense of urgency and has a "no task too small" attitude.
  • High-level communicator who knows how to maintain strict confidentiality.
  • Approachable and helpful, yet firm in maintaining office policies and budgets.
  • Expert in Google Suite (Sheets/Excel).
  • Eager to use AI technology to solve manual problems.
  • Reliable and punctual, ensuring the team is set up for success by 9:00 AM.

Nice To Haves

  • Experience in a high-growth startup environment is a significant plus.
  • Comfortable using AI tools.
  • Ability to troubleshoot basic IT tools such as Zoom rooms if IT Manager is not available.

Responsibilities

  • Take full ownership of the office aesthetic, ensuring conference rooms are client-ready, the kitchen is pristine, and coffee is available.
  • Own the new hire experience, ensuring timely laptop delivery, perfectly set up desks with swag, and a welcoming environment for new employees.
  • Plan and organize creative company events and manage company swag.
  • Lead the Anniversary Recognition Program with meticulous organization.
  • Manage office expenses and vendor costs to optimize budget and identify savings.
  • Provide an "Ambient Class" experience for interviewees and customers, ensuring they feel welcome.
  • Oversee workplace safety and regulatory compliance, including maintaining knowledge of local health and safety regulations (OSHA) and managing office security protocols.
  • Support the India office by ordering supplies and coordinating onboarding.
  • Act as the office lead for the replica weapon testing process.
  • Manage and lead company meetings every Friday.
  • Perform other duties as they arise.
