About The Position

Sit at the front desk, but responsible for completing basic administrative tasks around the office. You will also act as the first point of contact for all visitors, vendors, or potential new employees. Your daily tasks will include, but are not limited to, answering/routing phone calls to the correct person, answering/forwarding customer emails to the correct department, stamping/preparing mail, completing office opening & closing procedures, and overseeing the employee kitchen ensuring snacks are stocked and coffee is brewed. A successful candidate has a friendly demeanor and the ability to prioritize multiple tasks.

Requirements

  • Proficient in Microsoft Office suite (Excel, Word, Powerpoint, etc.)
  • High School Diploma or GED preferred
  • Office or customer service experience preferred
  • Bilingual in Spanish or French is a plus
  • Effective communicator, both written and verbally in English
  • Ability to prioritize, delegate, and organize multiple tasks or projects
  • Excellent attention to detail and organizational skills
  • Able to work and collaborate with others
  • Ability to stand or sit in a stationary position for long periods; occasionally move around the office and reach into cabinets, drawers, etc.; ability to lift to 25 pounds.

Responsibilities

  • Act as the first point of contact to greet any guests, visitors, and vendors
  • Performs clerical and basic administrative duties including responding to emails, filing, and completing basic forms as requested
  • Communicate with facilities , vendors etc and be proactive about solving potential problems/coming up with solutions
  • Supporting the onboarding of new hires
  • Assisting in booking travel and trainings for internal team members and CEO
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment
  • Answers phones, directs calls to appropriate individuals
  • Completes opening and closing procedures for the office
  • Ensures the kitchen & coffee station are fully stocked and clean
  • Ensures all mail has proper postage and is ready for pick up by the appointed time
  • Performs other related duties as assigned
