About The Position

They are seeking free-thinking problem solvers to build cutting-edge robotics in a fast-paced, highly collaborative startup environment. The Office Manager is a professional, hands-on role supporting seamless operations across multiple departments. This position will split the work week between two secure Darkhive locations in San Antonio, Texas.

Requirements

  • 3+ years as an office manager, facility manager, restaurant manager, or other equivalent experience.
  • Excellent written and verbal communication skills.
  • Ability to coordinate multiple projects and meet deadlines.
  • Superb organizational skills and attention to detail.
  • Willingness to assist with administrative tasks across all departments.
  • Ability to take direction from multiple leaders.
  • Proficiency in MS Office Suite, including Word, PowerPoint, and basic Excel.
  • Ability to learn new software.
  • High School diploma or equivalent.
  • Must be a 'U.S. Person' as defined by ITAR and EAR (e.g., U.S. Citizen, lawful permanent resident, refugee, or asylee).

Responsibilities

  • Welcome and direct facilities vendors (cleaners, maintenance, etc.), ensuring vendor performance, timeline, and service quality.
  • Ensure compliance with workplace safety standards and complete monthly facility safety checks.
  • Ensure office spaces are clean, functional, and well-maintained, reporting all issues and concerns.
  • Serve as the main point of contact and coordination for on-site visitors.
  • Support space planning and layout changes to accommodate team growth and operational needs.
  • Retrieve and audit monthly utilities statements.
  • Manage the company information email inbox, directing emails accordingly.
  • Check physical mail and redirect it to appropriate co-workers.
  • Maintain office supplies stock and complete purchasing.
  • Own the scheduling of professional virtual and in-person meetings.
  • Support internal company on-site events.
  • Perform other administrative tasks as needed.
