About TemperPack TemperPack is a rapidly growing company based in Richmond, Virginia and with locations in Las Vegas, Nevada, and Lansing, Michigan. We design and manufacture innovative, sustainable packaging components for cold-chain shipping of food and pharmaceutical products. The markets we serve have an urgent need for disruptive, sustainable alternatives to replace the wide array of non-sustainable packaging materials conventionally used in the cold-chain such as Styrofoam coolers. Our aspiration is to provide packaging solutions that customers and end-consumers feel great about using.

Requirements

  • 3–6 years of progressive experience in office management, facilities coordination, executive support, or a closely related role.
  • Demonstrated track record in end-to-end event planning — both intimate team gatherings and larger, higher-stakes engagements.
  • Demonstrated track record in vendor management and service accountability.
  • Demonstrated track record in inventory systems and supply chain coordination for office environments.
  • Demonstrated track record in creating and maintaining a culture of shared responsibility in a physical workspace.
  • Demonstrated track record in communicating professionally and confidently across all levels of an organization.
  • Ability to work independently, manage competing priorities, and own outcomes without close supervision.
  • Hospitality mindset — you think about the experience before people ask.
  • High attention to detail with a bias for follow-through.
  • Comfort with ambiguity and a strong instinct for when to escalate vs. solve.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with project or task management tools is a plus.
  • Ability to lift up to 25 pounds unassisted.
  • Prolonged periods of standing, walking, and moving between locations, as well as sitting at a desk and working on a computer.
  • Frequent movement between locations as required.

Responsibilities

  • Own the day-to-day condition of all shared spaces across two locations — conference rooms, kitchens, common areas, and collaborative zones.
  • Conduct regular walkthroughs to identify maintenance needs, safety concerns, and experience gaps; escalate or resolve as appropriate.
  • Serve as the primary point of contact for facilities-related issues and coordinate timely resolution with internal stakeholders or external vendors.
  • Manage building access coordination, signage, and general physical plant readiness.
  • Greet visitors and executive guests; ensure a polished, professional on-site experience from arrival to departure.
  • Own relationships with select facility service vendors — including janitorial, maintenance, and other recurring service providers — ensuring contract terms are met and service quality is consistently upheld.
  • Conduct periodic performance check-ins with vendors; surface issues and escalate or resolve as needed.
  • Manage vendor onboarding, documentation, and scheduling in coordination with Finance and Legal as appropriate.
  • Source, evaluate, and recommend new vendors when needed; negotiate service agreements with guidance from leadership.
  • Own end-to-end procurement and replenishment for office supplies, breakroom snacks, beverages, and adjacent consumables across Richmond locations.
  • Establish and maintain par levels; develop a system to prevent stockouts and avoid unnecessary rush orders.
  • Manage vendor relationships for supply orders; track spend and flag budget variances.
  • Receive and route deliveries; keep storage areas organized and accessible.
  • Keep kitchens stocked, functional, and clean during business hours — and hold the team accountable to shared cleanliness standards (dishes, common areas, shared amenities).
  • Plan and execute internal events — team meetings, all-hands gatherings, offsites, holiday events, and culture-building moments — from concept through debrief.
  • Coordinate logistics for external visitor experiences and executive-level meetings, including Board of Directors meetings, customer visits, and investor touchpoints.
  • Manage event timelines, run-of-show documents, vendor coordination (catering, AV, décor), and on-site execution.
  • Partner with the Chief of Staff and relevant ELT members to ensure events reflect TemperPack’s brand and culture standards.
  • Develop and maintain an annual events calendar; proactively anticipate needs and lead times.
  • Champion a high-standard employee experience— the kind of environment where people feel energized and proud to work.
  • Maintain and communicate shared office norms and expectations (kitchen cleanliness, common area upkeep, visitor-readiness) and keep the team aligned and accountable.
  • Serve as a visible, approachable presence in the office; proactively address friction points before they become recurring issues.
  • Manage room setup and reset for all scheduled meetings — furniture, AV readiness, materials, and hospitality.
  • Coordinate catering and hospitality for internal and external meetings.
  • Prepare printed materials, signage, agendas, and name tags as needed.
  • Oversee daily print, mail, and package operations across locations.
  • Maintain printer and copier readiness; submit service tickets and manage vendor follow-through on recurring issues.
  • Provide general administrative support including document preparation, scanning, and filing.
  • Follow and help evolve office procedures, safety guidelines, and building policies.
