About The Position

LangChain is seeking an Office Manager to own the San Francisco HQ end-to-end, encompassing both the on-the-ground experience and the systems that ensure its smooth operation. This is a hands-on role for a builder who takes pride in maintaining a flawless space and the systems that support it. The SF office is the company's largest hub and headquarters, where LangChain holds the master lease, is moving into new space, and regularly hosts company and team offsites. The Office Manager will be responsible for opening and resetting the space daily, acting as the face of the office throughout the day, and developing the tooling, standards, and vendor programs necessary for consistent operation as the company scales. This role requires a strong sense of ownership, a hospitality mindset, and a commitment to maintaining a high standard of quality and organization.

Requirements

  • 4–6 years of experience in office/workplace management, facilities, or workplace operations, preferably in high-growth tech environments.
  • Exceptional organizational skills, with a documentation-first approach and strong project management capabilities.
  • Proven experience owning workplace systems (ticketing, desk/room booking, visitor management) and vendor programs.
  • Demonstrated AI fluency and experience using AI tools for automation.
  • A hospitality or concierge mindset, treating colleagues and guests as customers.
  • High degree of agency and ownership, proactively addressing issues and building systems.
  • Commitment to a consistent, on-site, 5-day presence.
  • Ability to remain calm and proactive when issues arise ('run to the roar').

Nice To Haves

  • Hospitality background (hotels, premium service).
  • Experience supporting office moves or buildouts.
  • Experience with LangChain, LangGraph, LangSmith, or comparable tools.

Responsibilities

  • Own the space and maintain a high standard of organization, cleanliness, and readiness.
  • Open and reset the space daily, ensuring it is clean, stocked, and ready before employees arrive.
  • Conduct regular walkthroughs to identify and address any issues, ensuring the space is always tidy and presentable.
  • Serve as the primary point of contact for the office, greeting guests, welcoming new hires and visitors, and being available to assist employees.
  • Plan and execute local in-office events, team gatherings, and offsites hosted at HQ.
  • Manage facilities, supplies, snacks, and equipment.
  • Oversee on-site vendor relationships, including cleaning, food services, and maintenance.
  • Act as the primary contact for building management and coordinate necessary repairs.
  • Rationalize and manage vendor programs to establish consistent, contracted services.
  • Track office budget, assist in tracking cost-per-seat and utilization, and collaborate with the Finance department.
  • Manage the workplace ticket queue for the office and contribute to building a shared SLA framework and resolution metrics.
  • Deploy and manage the workplace technology stack, including desk booking, room scheduling, visitor management, and mail/delivery systems, in partnership with IT.
  • Develop and maintain Standard Operating Procedures (SOPs), playbooks, and trackers.
  • Contribute to the development of shared workplace standards across all company sites.
  • Manage space planning and office moves, ensuring clear communication and minimal disruption.
  • Oversee life-safety for the site, including emergency action plans, evacuation procedures, first aid/AED, and drills, as part of a company-wide program.
  • Utilize AI tools to automate manual tasks such as ticket management, vendor communications, inventory tracking, and invoice reconciliation.
