About The Position

We're a fast-growing SaaS company looking for a highly organized, proactive Part-Time Office Manager / Executive Assistant to keep our operations running smoothly and support our leadership team. This is a 20-hour-per-week role ideal for someone who thrives in a dynamic startup environment and takes genuine pride in making everything run like clockwork. You'll be the operational backbone of our team — managing the CEO's time, coordinating across departments, and owning the day-to-day details that allow everyone else to focus on building great software. This position is crucial to the smooth operation of our office and the well-being of our employees. The ideal candidate will be a strong communicator, able to manage multiple priorities, and possess a solid understanding of operational excellence. This role will be expected to be on-site 3 days a week to best support the team in-person.

Requirements

  • 2 -3 years of experience in an EA, office manager or similar role. Ideally in a startup or tech environment.
  • Expert-level proficiency with Google Workspace (Calendar, Drive, Docs, Sheets)
  • Comfortable with SaaS tools like Slack, Google Meet and quick to learn new platforms
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively with a high attention to detail.
  • High level of discretion and ability to handle confidential information.
  • Polished written and verbal communication; comfortable representing the company externally
  • Ability to anticipate needs, manage competing priorities, and work independently with minimal oversight
  • Problem-solving attitude with an eye for detail, strong critical thinking.
  • Ability to work independently and as part of a team.

Nice To Haves

  • Bachelor's degree in Business Administration, Human Resources, or a related field preferred.
  • Experience supporting a C-suite executive, light HR/onboarding coordination, or event planning background

Responsibilities

  • Manage and optimize the CEO's calendar, scheduling meetings across time zones with precision
  • Draft and respond to emails, correspondence, and communications on behalf of leadership
  • Coordinate travel logistics: flights, hotels, ground transport, and detailed itineraries
  • Prepare decks, briefing documents, and meeting agendas for executive meetings
  • Track action items and follow-ups from leadership meetings to ensure timely completion
  • Handle confidential information with discretion and professionalism
  • Serve as the point of contact for office vendors, facilities, and service providers
  • Manage office supplies, equipment procurement, and general administrative needs
  • Support onboarding logistics for new hires (equipment, desk setup, day-one coordination)
  • Organize team events, offsites, lunches, and company celebrations
  • Own expense reporting for office related expenses, oversee office budget and expense tracking related to office operations.
  • Identify inefficiencies in administrative workflows and implement improvements
