Join us as we build the future of AI in healthcare! We’re seeking a highly organized, proactive, and service-oriented Office Manager / Executive Assistant to join our team. In this hybrid role based in New York City, you’ll create seamless and welcoming office experiences for both our NYC and Boston offices while providing thoughtful administrative support to select members of the executive leadership team. This position is ideal for someone who thrives in a dynamic environment, enjoys balancing multiple priorities, and takes pride in keeping people and office operations running smoothly. You’ll play an important role in shaping the day-to-day workplace experience and helping leaders stay organized and focused.

Requirements

  • 3+ years of experience in office management, executive support, or a similar administrative role in a fast-paced startup environment.
  • Exceptional organizational skills and strong attention to detail
  • Ability to manage competing priorities with efficiency and composure
  • Strong written and verbal communication skills
  • A proactive, solutions-oriented approach to work
  • High level of professionalism, judgment and discretion
  • Experience coordinating vendors, events, calendars, and workplace logistics
  • Proficiency with tools such as Google Workspace, Notion, Slack, and expense management systems (Ramp).

Responsibilities

  • Oversee daily office operations to ensure an efficient, organized, and welcoming environment
  • Manage office supplies, inventory, and vendor relationships
  • Coordinate office maintenance, repairs, and workplace services
  • Support onsite logistics, including conference room readiness, guest coordination, and general office organization
  • Help plan and execute team events, offsites, employee engagement activities, and office gatherings
  • Partner with internal teams to support onboarding logistics and workplace needs for new hires
  • Maintain and improve office systems, processes, and policies to support a positive employee experience
  • Manage calendars, scheduling, and meeting coordination for executives
  • Arrange travel, itineraries, and expense reporting
  • Prepare materials for meetings, presentations, and internal communications
  • Track action items, deadlines, and follow-ups on behalf of leadership
  • Provide administrative support for team meetings, offsites, and special projects
  • Handle confidential and sensitive information with professionalism and discretion
  • Serve as a reliable point of coordination between executives and internal or external stakeholders
