Requirements

  • Ability to commute to the Menlo Park office for work; this role is not remote.
  • Corporate experience in events coordination, office management, or administrative support.
  • Exceptional organizational skills, strong attention to detail, and a consistent bias toward follow-through.
  • Clear, confident communicator (written and verbal) who thrives in a service-oriented role and works effectively across teams and levels.
  • Ability to juggle competing priorities and stay calm under pressure.
  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, and PowerPoint).
  • Genuine enthusiasm for building community and creating great in-person experiences.

Nice To Haves

  • Experience supporting C-suite or senior executives.
  • Familiarity with Asana or Monday.com.
  • Background in a fast-paced tech environment.

Responsibilities

  • Plan, coordinate, and execute in-office and offsite events, including logistics such as venue setup, catering, A/V, vendor coordination, hotel arrangements, and restaurant reservations.
  • Maintain a master events calendar, keep stakeholders informed, and apply post-event feedback for continuous improvement.
  • Serve as the primary point of contact for the Menlo Park office, ensuring a welcoming and well-organized environment.
  • Manage office supplies, equipment, vendor relationships, and facilities requests.
  • Act as the first point of contact for visitors and building management.
  • Support the President of Software with calendar management, meeting scheduling, travel coordination, and administrative tasks.
  • Prepare agendas, materials, and meeting notes.
  • Handle sensitive information with discretion.
  • Proactively resolve scheduling conflicts and logistics gaps.
