About The Position

The Department of Criminal Justice & Criminology (CJC) at MSU Denver is seeking an Office Manager and Events Coordinator. This role reports to the CJC department chair and is responsible for providing comprehensive administrative support, event coordination, and student employment management. The position serves as the primary point of contact for department operations and communications, working collaboratively with the Department Operations Manager and Cybersecurity Program Manager to ensure efficient departmental procedures for various degree programs and certificates.

Requirements

  • Bachelor’s degree from an accredited college or university OR a combination of education and relevant experience that are equal to a full bachelor’s degree (1 year of education = 2 years of experience).
  • 2+ years in office management, administrative support, front desk, or related professional area.
  • Proficiency with Microsoft Office Suite.
  • Strong verbal and written communication skills; the ability to communicate with a wide variety of constituents effectively and with a high degree of professionalism.
  • Strong customer service and interpersonal skills.
  • Excellent organizational skills and the ability to multitask.
  • Strong computer and technological proficiency with the ability to learn new systems, software, and tools.
  • Proficiency in using office equipment (printers, copy machines, phones, etc.).
  • Ability to act with integrity, professionalism, and confidentiality.
  • The ability to build positive relationships and demonstrate commitment to collegiality and mutual respect.

Responsibilities

  • Serve as primary point of contact for department inquiries from students, faculty, staff, and external stakeholders.
  • Manage department front desk operations and visitor reception, such as answering phones, responding to emails, sending/providing prospective student information, and greeting visitors.
  • Coordinate facilities access and use authorization.
  • Maintain office supplies and equipment.
  • Manage department calendar, and classroom and meeting room reservations.
  • Handle departmental correspondence and communications.
  • Troubleshoot minor computer issues and serve as assistant liaison with IT to resolve issues.
  • Coordinates with the Department Operations Manager and Cybersecurity Program Manager to support events and marketing across all degree and certificate programs and multiple student groups.
  • Assisting with scheduling departmental meetings, vendor and visitor visits, executive briefings, cross-collaborations with other academic and administrative departments, and stakeholders and constituents as needed.
  • Plan and coordinate department events including, but not limited to, career fairs, open house, convocation, K-12 visits, and special programs.
  • Work with department chair and faculty to promote the department via website, social media, and marketing materials.
  • Serve as the department webmaster for social media and websites and provide updates and important information to the department.
  • Collaborate with graphic designers to design and edit department information packets, brochures, and promotional materials.
  • Manage event logistics including venue setup, catering, attendance tracking, and post event surveys.
  • Create and maintain alumni database.
  • Assist in email campaigns, texting, or automated/schedule messages for prospective students, parents, counselors, and other audiences.
  • Participate in college-wide meetings regarding recruitment, marketing, and student support.
  • Provide support to students regarding program requirements and processes.
  • Assist with student advising logistics and appointment scheduling.
  • Support faculty with course materials and administrative needs.
  • Coordinate with academic advisors and maintain student records.
  • Assist with registration processes and course information.
  • Write job descriptions and ensure they are posted on the university student jobs online board.
  • Interview and hire student employees, including verifying work-study eligibility and awards.
  • Train and supervise student employees, including establishing and overseeing work schedules.
  • Track student earnings to ensure they do not exceed award amounts.
  • Conduct student employee performance evaluations.
  • Approve timesheets in accordance with proper Human Resources policies.
  • Support department special initiatives and projects as assigned.
  • Assist with departmental reporting and data collection as needed.
  • Participate in university and department committees as appropriate.
