About The Position

The Office Logistics Coordinator will be responsible for scheduling and coordinating outbound and inbound shipments, serving as the primary liaison between customers, carriers, and internal teams, and communicating shipment updates. This role also involves assisting with reporting, data reconciliation, and providing shipment information to the finance team. Additionally, the coordinator will handle day-to-day office operations, including answering calls, managing documentation, ordering supplies, preparing product samples, coordinating facility services, and organizing employee training sessions and customer visits. The position requires a focus on exceptional customer service, attention to detail, and timely resolution of shipping or logistics issues.

Requirements

  • Proficiency with Salesforce, Slack, Microsoft Office Suite (Word, Excel, Outlook), and Adobe Acrobat.
  • High school diploma or equivalent required.
  • Excellent written and verbal communication skills with the ability to build strong relationships with customers and vendors.
  • Strong organizational, multitasking, and problem-solving abilities.

Nice To Haves

  • 3+ years of administrative or office coordination experience preferred.
  • Previous logistics or transportation experience working with trucking companies strongly preferred.
  • additional education is a plus.

Responsibilities

  • Schedule and coordinate outbound and inbound shipments with customers and trucking vendors.
  • Serve as the primary liaison between customers, carriers, and internal teams to ensure timely and accurate deliveries.
  • Communicate shipment updates with customers, vendors, sales, operations, and warehouse personnel.
  • Assist with reporting, data reconciliation, and providing shipment information to the finance team for invoicing and tracking.
  • Answer incoming calls, manage documentation, maintain organized records, and order office supplies as needed.
  • Prepare product samples for customers and coordinate facility-related services with local vendors.
  • Organize employee training sessions, customer visits, and other administrative logistics.
  • Support day-to-day office operations while ensuring exceptional customer service and attention to detail.
  • Identify and resolve shipping or logistics issues in a timely, professional manner.
