About The Position

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking a highly organized and professional Office & Legal Support Coordinator to join our Atlanta office. This is a dynamic, dual-function role that blends office coordination (50%) with legal practice support (50%), ideal for someone who enjoys variety, takes pride in being the go-to resource, and thrives in a fast-paced legal environment. You’ll play a critical role in keeping the office running smoothly while supporting attorneys with administrative and legal operations. Requirements

  • Associate’s degree in Business Administration or related field
  • 2+ years of administrative experience in a professional office environment
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office (Word, Outlook, Excel)
  • Ability to maintain confidentiality and exercise sound judgment
  • Professional, client-focused demeanor
  • Ability to work independently and collaboratively in a small team

Responsibilities

  • Serve as the primary administrative point of contact for the Atlanta office
  • Greet clients and visitors; answer and direct incoming phone calls
  • Oversee daily office operations, including supply ordering, vendor coordination, and building management communication
  • Manage conference room scheduling, meeting logistics, and basic technology setup
  • Handle mail, courier services, overnight and certified deliveries
  • Maintain office organization, shared calendars, and administrative files
  • Assist with onboarding logistics for new employees
  • Support firm events, meetings, and internal initiatives
  • Perform general administrative tasks such as scanning, filing, data entry, and expense support
  • Provide administrative support to multiple attorneys, primarily within the Finance and other practice teams
  • Draft, format, revise, proofread, and finalize legal documents and correspondence using Microsoft Word and related tools
  • Manage attorney calendars and schedule client meetings and appointments
  • Open new matters, submit conflict checks, and assist with matter and file maintenance
  • Organize and maintain electronic and physical client files in the document management system
  • Assist with time entry, billing preparation, expense reports, and reimbursements
  • Coordinate with internal teams (Records, Accounting, IT, Office Services) to support attorney and client needs
  • Handle sensitive and confidential information with discretion and professionalism
