About The Position

Under minimal supervision, provides administrative, secretarial, and clerical support to the Business Manager and Executive Director. Ensures harmonious interaction with staff members and overall patient experience satisfaction. This role involves maintaining computer databases, managing supply information, filing, handling written correspondence, performing minor administrative details, assisting with the day-to-day needs of the department, and supporting initiatives and performance improvement activities. Other activities may be assigned by the Business Manager/Executive Director.

Requirements

  • High School graduate or GED.
  • Efficient operation of office equipment.
  • Computer experience including: Lawson; Excel; Word; PowerPoint; Allscripts PM; Allscripts HR.
  • Medical Terminology.
  • Ability to be scheduled for work based on operational needs of the hospital.
  • Possesses the ability to deal tactfully and harmoniously with guests.
  • Good grammar, composition and organizational skills required.

Nice To Haves

  • Associate Degree in Office Administration or related field.

Responsibilities

  • Perform highly skilled secretarial and receptionist duties.
  • Provide clerical support including secretarial duties, ordering supplies, typing, making copies, generating reports, record keeping, scheduling, and serving as a facilitator for programs.
  • Oversee billing, including preparing encounter forms for the billing company.
  • Assist in the preparation of complex and/or confidential reports.
  • Assist with the insurance authorization process.
  • Schedule clinical appointments, referrals, and education class participants.
  • Assist with educational forums and classes as necessary.
  • Report maintenance issues to appropriate personnel.
  • Manage physician schedules (holiday and vacation, not Allscripts).
  • Coordinate staff time off with the Business Manager.
  • Monitor overtime hours.
  • Provide feedback on agenda items for monthly office meetings.
  • Other duties as assigned by the Business Manager.
