About The Position

RedMane Technology LLC is seeking a friendly, organized, and reliable Office & Culture Coordinator to manage the day-to-day operations of our Ottawa, ON office on a part-time basis. This role is crucial for maintaining a smooth-running and welcoming office environment. The coordinator will be responsible for keeping the space tidy and well-stocked, managing office supplies, ordering groceries, and coordinating kitchen refills. Additionally, this position will serve as the on-site point person for facilities coordination and people logistics, working closely with our Chicago office and IT team. The ideal candidate will take pride in a well-organized space, enjoy creating a positive atmosphere, and be comfortable with administrative tasks and remote collaboration.

Requirements

  • Some experience in office administration, coordination, or a similar hands-on support role.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and take initiative.
  • Reliable, friendly, and service-oriented with a genuine interest in creating a welcoming environment.
  • Comfortable coordinating with remote teams (Chicago office, IT) and external vendors/building management.
  • Proficient with everyday tools such as email and Microsoft 365 (Outlook, Excel).
  • Available for part-time, on-site hours at the Ottawa office.

Responsibilities

  • Maintain a tidy, stocked, and welcoming office environment, including common areas and workspaces.
  • Order groceries, refill the fridge and kitchen supplies, and replenish everyday office supplies.
  • Act as the on-site liaison with the building manager and vendors for maintenance issues (e.g., water, electricity, repairs).
  • Receive deliveries and mail, and assist with general organizational tasks.
  • Coordinate onboarding and offboarding processes, including laptop, desk, and key setup for new hires, and collection of equipment upon departure.
  • Liaise with the Chicago office and IT team to ensure local staff have necessary equipment, access, and support.
  • Support alignment with employment law, health and safety, and workplace standards, escalating complex matters as needed.
  • Organize small team gatherings, celebrations, and activities to foster a fun and connected office culture.
