About The Position

Talking Tadpoles is seeking a supportive and fast-paced Office Coordinator to foster professional growth in an environment focused on interacting with parents and children. This role is a vital part of the administrative team and serves as the first point of contact for families. The Office Coordinator delivers excellent customer service to patients, their families, referring physicians, and therapists. The ideal candidate is highly organized, customer/client-focused, self-motivated, reliable, and possesses a keen attention to detail, excellent time management skills, exceptional interpersonal skills, and the ability to adapt to new processes quickly. This role requires daily, a mix of high-quality personal engagement with families and other team members on the phone, in person, and through email. The Office Coordinator serves as the primary point of contact for patients and families for the practice.

Requirements

  • Bilingual (Spanish)
  • Ability to use computers, tablets, and electronic health record systems for documentation, scheduling, and communication
  • Ability to maintain professional boundaries, ethical conduct, and confidentiality at all times
  • Use exceptional written and verbal communication in English with families and clients of Talking Tadpoles via phone, text, email or in person
  • Ability to maintain regular, punctual attendance
  • Ability to arrive to assigned locations at required time
  • Ability to work scheduled hours
  • Meticulous attention to detail over the course of the workday
  • Ability to sustain physical and mental activity throughout a scheduled workday
  • Ability to remain calm and professional in emotionally charged or high-stimulation environments
  • Ability to lift and carry up to 30–40 pounds occasionally

Responsibilities

  • Establish and maintain patient records in hard-copy and electronic formats
  • Maintain confidentiality and compliance with HIPAA regulations in all interactions
  • Support therapists in maximizing their schedules and accommodating families' changing needs and availability through reschedules
  • Collect payment at time of service
  • Serve as liaison for parent/caregiver(s) between all departments (clinical, administrative, billing, etc.) at Talking Tadpoles
  • Maintains attendance policy with families by discussing attendance requirements and following up to offer reschedules
  • Performs Supply Order monthly
  • Represent the clinic in the community in a professional manner
